Job description

100% in-person in Charlottesville, VA Applications will be reviewed beginning on June 5, 2026 JOB SUMMARY - Responsible for leading the coordination and organization of the Rivanna Authorities' sustainability grant, sustainability, and administrative programs. This position connects departments, subject matter experts, and resources to support the development and execution of strategic initiatives. The role focuses on improving internal workflows, standardizing processes, and ensuring effective communication, tracking, and documentation of sustainability and grant-related efforts to drive organizational alignment and efficiency.

ESSENTIAL JOB FUNCTIONS Grant Alignment: Identify and research grant and funding opportunities aligned with organizational priorities. Coordinate the development, review, and submission of grant applications and proposals by gathering, organizing, and facilitating input from internal stakeholders. Track the status of grant applications, awards, and associated projects to ensure timely follow-up and organizational awareness.

Develop, implement, and maintain standardized workflows, templates, and timelines to improve efficiency and consistency in grant-related efforts. Organize and maintain accurate records, documentation, and reference materials related to grant activities. Finance Coordination: Serve as a coordination point between project teams and the Finance Department to support alignment of grant-related activities with financial processes.

Coordinate with Finance and project managers to compile and organize information needed for grant budgets and funding requirements. Track project milestones and activities to support Finance in monitoring grant-related expenditures and timelines. Assist in gathering and organizing documentation needed for grant-related reporting and reimbursement requests.

Maintain organized grant documentation to support Finance-led tracking, reporting, and audit processes. Facilitate clear communication of grant requirements, timelines, and supporting information between departments and Finance to ensure alignment. Sustainability Initiatives: Coordinate and support the development, implementation, and ongoing management of the Rivanna Authorities' sustainability initiatives.

Serve as a central point of coordination between departments, subject matter experts, and external partners to support alignment and execution of sustainability efforts. Facilitate communication across divisions to ensure clarity of roles, responsibilities, timelines, and deliverables. Develop, implement, and maintain standardized workflows, templates, and tracking tools to improve consistency and efficiency in sustainability efforts.

Organize and maintain accurate records, documentation, and program materials related to sustainability initiatives. Administrative Duties: Provide administrative support and backup to the Administration Department as needed to ensure continuity of operations, including coordination, documentation, and general operational support. Maintain effective working relationships with internal and external stakeholders.

Provide customer service both internally and externally. Abide by RWSA personnel policies and practices. Perform job tasks safely and follow Authority safety regulations.

Perform duties in accordance with all local, state, and federal laws, rules, and guidelines. Perform other related duties as assigned. .
