WHAT DOES A SPEAKER BUREAU IMPLEMENTATION MANAGER DO?

THE POSITION: The Speaker Bureau Implementation Manager is responsible for the management, launch, and optimization of speaker bureaus within our proprietary platform. This role leads new bureau implementations, drives continuous operational and technology enhancements, and ensures seamless platform performance across program lifecycles. The position requires strong team and client collaboration, strategic and solution-oriented thinking, and the ability to navigate evolving priorities across multiple clients and stakeholders within the speaker bureau industry.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Develop and maintain a comprehensive understanding of portal functionality, applying strategic thinking to assess, address, and resolve business needs
  • Attend and participate in new project briefings, kickoff meetings, and bureau launch planning sessions
  • Provide input based on knowledge and experience to support program structure, budgets, and operational strategy
  • Identify operational and system improvement opportunities to enhance program execution and drive efficiency
  • Own the development, maintenance, and continuous improvement of work instructions for all task processes
  • Assists with speaker bureau launches, ensuring client's customized components are implemented accurately and in alignment with timelines and expectations
  • Translate program specifics into team playbooks and training materials for new and existing bureaus
  • Demonstrate a commitment to diversity, equity, and inclusion through continuous development, modeling inclusive behaviors, and proactively managing bias. 
  • All other duties as assigned  

EXPECTATIONS OF THE JOB:

  • Serve as primary business owner for the speaker bureau platform/portal
  • Continuously evaluate portal performance and identify opportunities for automation, reporting enhancements, and usability improvements
  • Work directly with internal developers to translate business and client needs into clear technical requirements and functional solutions
  • Conduct thorough and ongoing system testing, including user acceptance testing (UAT), to validate functionality, identify issues, and ensure successful deployment of enhancements
  • Lead implementation of process improvements to address identified gaps across workflows, systems, and program execution.
  • Provide guidance, training, and ongoing support for speaker bureau portal and processes both internally and externally
  • Communicate program updates, system changes, and enhancements effectively, ensuring stakeholder alignment and understanding.
  • Support and coordinate Veeva submission processes related to portal materials.
  • Pivot across multiple programs and priorities to support business demands, new launches, and evolving client needs
  • Travel up to 20% for client meetings and launches or trainings.
  • Hours 40 hours, Monday - Friday
Qualifications

WHAT ARE WE LOOKING FOR?

MINIMUM KNOWLEDGE, SKILLS AND ABILITIES:

The requirements listed below are representative of the experience, education, knowledge, skill and/or abilities required.

  • Education Equivalent experience in speaker bureau within the pharmaceutical industry
  • Experience and/or Training 4+ years in pharmaceutical experience and working on speaker bureaus and/or platforms
  • Technology/Equipment Excel, Zoom, Teams

PREFERRED QUALIFICATIONS:

  • Education Bachelor's degree or equivalent experience
  • Experience and/or Training 6+ years in pharmaceutical experience and launching or implementing speaker bureaus and/or platforms
  • Technology/Equipment Experience with Veeva Vault PromoMats and/or submission workflows, including MLR process; Excel, Zoom, Teams
