Rejoice in Hope Catholic Center Coordinator
Diocese of Providence | Part-Time | 20 hours per week
Status: Part-time, year-round. 20 hours per week.
Reports to: Director of the Office of Family, Youth, and Young Adult Evangelization.
Location: On site at the Rejoice in Hope Catholic Center, 804 Dyer Ave, Cranston, RI 02920.
Schedule: Regular hours set with the Director. Hours can be flexible.

About the Center
The Rejoice in Hope Catholic Center is where the Office of Family, Youth, and Young Adult Evangelization does much of its work with families, youth, and young adults. It is also used by parishes, schools, and groups from across the diocese, and it is the home of the Catholic Athletic League office.
A building that works is not an afterthought to that mission. It is part of it. A group that arrives to a room that is ready, a gym schedule that holds, a coach who gets an answer the same day: that is hospitality, and it is the first thing anyone experiences of this office.
The Role
The Coordinator keeps the Center running. That means the building itself, the calendar and the groups who use it, and the administrative support the Office and the Catholic Athletic League need to hold their events here.
The work is largely unseen, and it matters. We are looking for someone who takes satisfaction in that, who finishes what they start, and who does not need to be asked twice.
DutiesThe building
  • Serve as the Center’s on-site point of responsibility. Know the state of the building at all times.
  • Schedule the cleaning crew, verify the work, and address problems with them directly. Escalate to the Director only when it is not resolving.
  • Handle opening and closing, keys and access, and alarm procedures.
  • Set up and turn over rooms and the gym between uses, including after evening and weekend events.
  • Walk the building regularly. Catch problems early, handle minor fixes, and report anything larger to [role] before it becomes a shutdown.
  • Track supplies and order what is needed.
  • Coordinate maintenance and repair vendors, schedule the work around the calendar, and confirm it was done.
Scheduling and rentals
  • Own the Center’s calendar, including the gym and meeting rooms. Handle booking requests, resolve conflicts, and keep the schedule current and visible to staff.
  • Serve as first point of contact for parishes, schools, and outside groups using the building. Answer inquiries, walk clients through the process, issue and track use agreements, and confirm details before the date.
  • Verify that every adult present when minors are on site has a current background check and Safe Environment certification on file with the diocese. Maintain those records and flag gaps to the Director before the event, not after.
  • Track rental income and Center expenditures, prepare check requests and invoices, and give the Director a monthly summary.
Administrative support
  • Support Office and Catholic Athletic League events held at the Center: registration, materials, vendor and volunteer communication, and follow-up.
  • Answer phone and email inquiries from parish staff, coaches, and families. Answer what you can, route the rest.
  • Maintain contact records, registration data, and program files.
  • Attend the weekly team meeting and keep regular office hours, scheduled with the Director.
The office is small. This list is not exhaustive, and the person in this role will be asked to help where help is needed.
What We Are Looking ForRequired
  • A practicing Catholic who can represent this office and the diocese well to the parishes, coaches, and families who use the Center.
  • Experience in facility operations, building management, event operations, or comparable work in a church, school, or commercial setting.
  • Administrative experience: scheduling, records, correspondence, and basic budget tracking.
  • Organized and detail oriented. You track details without being tracked.
  • Clear, professional writing. A good share of this job happens by email.
  • Strong with Microsoft Office, and able to learn new systems.
  • Valid driver’s license and reliable transportation.
  • Completion of the diocesan Safe Environment requirements, including a background check, before the start date.
Preferred
  • Experience with facility rentals or event coordination.
  • Working knowledge of building systems and safety requirements.
  • Experience in parish, school, or diocesan ministry.
  • Spanish [or Portuguese] language ability.
