Job description

The Development Coordinator will:
  • Manage and maintain the Council’s donor database and fundraising technology systems, ensuring accurate, consistent, and confidential donor, prospect, gift, campaign, and engagement data.
  • Manage gift processing and donor acknowledgements for all GSNorCal office locations, including gifts received through checks, online platforms, donor advised funds, stock, matching gifts, workplace giving, and other giving vehicles.
  • Reconcile donor gift activity with the Accounting Department and support regular financial reconciliation and reporting to ensure accuracy across fundraising and finance systems.
  • Serve as a fund development systems super user, developing expertise in Raiser’s Edge NXT, Salesforce, GoFundMe Pro, Dataro, Omatic, and other fundraising platforms and tools. Support troubleshooting, data integration, documentation, staff training, and adoption of best practices.
  • Maintain strong data integrity through regular database audits, duplicate management, coding standards, constituent updates, data imports/exports, and ongoing database cleanup.
  • Develop and maintain Fund Development dashboards and reports that track fundraising performance, donor retention, acquisition, campaign results, portfolio activity, pipeline, event revenue, and progress toward annual goals.
  • Produce regular and ad hoc reports and analysis for Fund Development leadership, executive leadership, board committees, and other internal stakeholders.
  • Support donor segmentation and list development for annual giving campaigns, direct mail, email, events, stewardship, planned giving, and targeted donor outreach.
  • Support prospect and donor research, including preparing donor profiles, giving histories, engagement information, meeting briefs, and other materials to support cultivation and solicitation strategies.
  • Support major gift and portfolio management by maintaining accurate moves management, contact reports, prospect stages, next steps, proposals, and other relationship-management information within fundraising systems.
  • Participate in Fund Development activities as needed, including special events, donor communications, meeting preparation, stewardship, campaigns, and other donor engagement activities.
  • Provide fundraising operations support for events, including registration and guest data, sponsorship and pledge tracking, auction and Fund-A-Need data, payment follow-up, donor acknowledgements, and post-event reporting.
Remote Work and/or Office Expectations:
  • 37.5 hours per week
  • Hybrid position with remote work and one day in the Alameda office
  • Able to work a flexible schedule, including evenings and weekends as needed
Skills required to be successful in this role include, but are not limited to:
  • Process and retain Council donations in a timely, ethical, accurate, and fiscally responsible manner while maintaining appropriate internal controls and checks and balances.
  • Demonstrate a high level of accuracy and attention to detail when working with donor records, financial information, reporting, and confidential constituent data.
  • Prepare accurate donor and prospect lists for annual campaigns, direct mail, tax letters, invitations, electronic communications, events, stewardship, and other fundraising activities.
  • Translate fundraising questions into useful reports and analysis, identifying trends, opportunities, discrepancies, and actionable information rather than simply producing data.
  • Build and maintain dashboards and recurring reports that allow Fund Development staff to easily monitor performance against goals.
  • Manage multiple fundraising systems and data sources and understand how information flows between platforms.
  • Develop efficient processes, documentation, and standard operating procedures for database management, gift processing, reporting, and fundraising technology.
  • Provide accurate, responsive, and high-quality customer service to external constituents, including donors, as well as internal stakeholders, staff, and volunteers.
  • Manage competing priorities and recurring deadlines while responding effectively to time-sensitive reporting, donor, event, and campaign needs.
  • Work collaboratively across Fund Development, Finance, Marketing/Communications, Membership, Program, and other departments as needed to support fundraising goals.
Essential Qualifications:
  • Bachelor’s degree or equivalent work experience and education, comparable to the attainment of a bachelors’ degree
  • Two years of experience using donor database software required - Must have general understanding of database systems in order to effectively apply to Girl Scout fund raising activities. Experience with Blackbaud Raiser’s Edge/NXT preferred.
  • Prior experience working in fundraising and interest to learn new skills.
  • High discretion in handling sensitive and confidential donor information.
  • Strong attention to detail and a mindset for properly executing complex processes with accuracy and efficiency and have an interest to improve processes and procedures.
  • Excellent oral and written English language communication skills
  • Ability to exhibit a positive, cooperative attitude, and professional image when working with all staff, members, donors, and visitors.
  • Strong computer skills. Proficiency in Windows and MS Office Suite (Outlook, Word, PowerPoint and Excel). Ability to learn new online tools and databases quickly.
  • Ability to work effectively and collaboratively with a diverse employee, volunteer, and donor population.
  • A strong sense of integrity, work ethic, and organizational skills.
  • Ability to work in a fast-paced, high-demand work environment, meet deadlines successfully, and manage multiple tasks and demands.
  • Commitment to diversity and proven ability to work effectively with persons of diverse backgrounds and abilities.
  • Ability to pass the Girl Scouts background check process and verification standards
Desired Qualifications:
  • Current California Driver’s license, valid auto insurance, and be insurable by the council auto policy carrier, and have access to a vehicle on a daily basis.
  • Special event coordination experience.
  • Internet connection available through high-speed internet or cell phone data WIFI connection
  • Knowledge of internet research skills to support donor prospect research.
  • Knowledge of/experience in the Girl Scout Movement.
