Job description

Purpose of Position:

The Event Coordination Intern will assist in the coordination and delivery of Chamber events by supporting logistics, marketing, and on-site event management. Key responsibilities include organizing event details, engaging with attendees, and collaborating with the team to ensure seamless execution. This role provides hands-on experience in event planning, community engagement, and project coordination within a dynamic and professional environment.

Essential Job Duties and Responsibilities:

Event Planning Support

  • Assisting with the planning and organization of Chamber events, including networking functions, conferences, and community initiatives.
  • Coordinating event logistics such as venue selection, vendor communication, and equipment setup.
  • Supporting the creation of event schedules, agendas, and run-of-show documents.

Event Execution

  • Assisting with on-site event coordination, including registration, setup, and troubleshooting.
  • Engaging with attendees to ensure a positive experience and addressing questions or concerns.
  • Supporting event wrap-up activities, including tear-down and post-event evaluations.

Marketing and Promotion

  • Drafting copy and gathering images to support event promotion across social media, email campaigns, and the website.
  • Designing and preparing event materials such as invitations, programs, and signage.
  • Documenting events through photos and summaries for future promotion and reporting.

Administrative Support

  • Managing event RSVPs and maintaining attendee databases.
  • Create event materials such as signage, name tags, and other supporting collateral.
  • Oversee event and member dataset functions to build, update, and manage event records.
  • Assisting with budget tracking and expense documentation for events.
  • Supporting team meetings with preparation, note-taking, and follow-ups.

Other Duties and Responsibilities:

  • Represent the Chamber at various Chamber/community functions.
  • Maintain ongoing relationships with staff, Chamber members, contractors and vendors.
  • Actively participate in diversity, equity, and inclusion training in order to advance along one’s own journey of inclusion and acceptance.
  • Other duties as assigned.

Qualifications:

  • Currently pursuing or recently completed a degree in Event Management, Hospitality, Marketing, Business, or a related field.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to work collaboratively in a team-oriented environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); experience with event management software is a plus.
  • Availability to assist with occasional evening or weekend events as needed.

Physical Demands:

  • Typical office environment with frequent sitting, standing and walking.
  • Event support will require abilities to lift, pull, push up to 20 pounds.
  • Ability to drive and provide own transportation.
