KBR is seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the Vice President, Intell and the Vice President, Special Programs, with secondary support across the Intel and Special Programs leadership team. This role serves as a trusted business partner, enabling executive effectiveness across growth, operations, and strategic priorities within a fast-paced defense, intelligence, and space mission environment.

The ideal candidate is a strategic thinker with exceptional organizational skills, sound judgment, business acumen, and the ability to operate independently while managing competing priorities. This individual must be comfortable handling sensitive information with the highest level of discretion and professionalism while serving as a central coordination point across executive leadership, operating units, customers, and partners.

Key Responsibilities

Executive Calendar & Schedule Management

  • Own and manage complex executive calendars for multiple senior leaders, balancing strategic priorities, operational demands, customer engagements, and external commitments.
  • Anticipate scheduling conflicts, prioritize competing demands, and recommend solutions to maximize executive effectiveness.
  • Coordinate and prepare executives for meetings by ensuring objectives, materials, attendees, and logistics are aligned.
  • Manage executive access, availability, and time allocation to support business and mission priorities.
  • Utilize AI-enabled tools and automation solutions to improve scheduling efficiency and calendar management.

Travel, Meetings & Administrative Support

  • Lead domestic and international travel planning, coordination, and expense reconciliation for executive leadership.
  • Proactively manage travel risks, schedule changes, and logistics to ensure seamless execution.
  • Coordinate conference room reservations, leadership meetings, staff meetings, and executive offsites.
  • Plan and execute meetings, conferences, leadership events, and employee engagement activities.
  • Manage VIP visits, including logistics, facility access, escort requirements, and executive hospitality.
  • Coordinate catering, employee events, team celebrations, and executive dinners across multiple office locations.
  • Interface professionally with senior executives, government officials, customers, partners, and internal stakeholders.

Executive Operations & Program Coordination

  • Track executive commitments, action items, deliverables, and deadlines arising from meetings, communications, and business reviews.
  • Develop and maintain reliable tracking systems to ensure accountability and timely closure of critical actions.
  • Drive follow-up with stakeholders and leadership teams to ensure commitments are completed.
  • Support timesheet approvals, workforce tracking, and other routine operational activities as required.
  • Maintain historical records and archive leadership, business, program, and financial materials within SharePoint, OneDrive, and other approved repositories.

Communication & Stakeholder Management

  • Screen, prioritize, and manage executive communications, including calendar requests, correspondence, and email traffic.
  • Draft executive-level communications, briefings, presentations, talking points, and read-ahead materials.
  • Serve as a key liaison and coordination point among executives, directors, operating units, and corporate functions.
  • Foster effective collaboration across business units and maintain strong partnerships with executive assistants throughout the organization.
  • Exercise discretion and judgment in handling confidential and sensitive information.

AI & Business Process Enablement

  • Act as an AI and automation resource for executive leadership.
  • Identify, develop, track, and implement AI-enabled workflows and productivity improvements.
  • Support adoption and effective utilization of Microsoft Copilot and other automation tools.
  • Continuously evaluate opportunities to improve executive operations, information management, and business processes through technology.

Work Environment:

  • Location: Hybrid work environment with a minimum of 4 days per week onsite in Chantilly, VA.
  • Travel Requirements: Quarterly travel anticipated, with additional travel as required to support business and mission needs.
  • Working Hours: Standard business hours with flexibility to accommodate executive schedules and priorities.

Required Qualifications

  • 10+ years of progressively responsible administrative or executive support experience, including support of senior executives.
  • Proven ability to manage multiple priorities and complex schedules in a fast-paced environment.
  • Exceptional organizational, communication, prioritization, and problem-solving skills.
  • High degree of professionalism, discretion, integrity, and sound judgment.
  • Advanced proficiency with Microsoft 365 applications including Outlook, Word, PowerPoint, Excel, Teams, SharePoint, and OneDrive.
  • Demonstrated experience leveraging AI-enabled tools such as Microsoft Copilot to improve productivity and workflow efficiency.
  • Ability to work independently while collaborating effectively across a diverse leadership team.

Preferred Qualifications

  • Experience supporting executives within defense, intelligence, national security, government, aerospace, or space mission organizations.
  • Familiarity with business growth operations, capture activities, or program execution environments.
  • Experience supporting multiple executives, operating units, or complex organizational portfolios.
  • Demonstrated success implementing automation solutions that improve executive effectiveness and operational efficiency.
  • Experience working within highly regulated or security-conscious environments.

Basic Compensation: $87,000.00 - $131,000.00.

The offered rate will be based on the selected candidate's knowledge, skills, abilities and/or experience and in consideration of internal parity.

Additional Compensation:

KBR may offer bonuses, commissions, or other forms of compensation to certain job titles or levels, per internal policy or contractual designation. Additional compensation may be in the form of sign on bonus, relocation benefits, short term incentives, long term incentives, or discretionary payments for exceptional performance.
