Admissions Specialist (Early College Specialist)

This is NOT a remote position – the job requires in-person work.

Evening, weekend, and or distance offerings for UH Maui College and/or Outreach sites (Hana, Lanai, Molokai) may be assigned as part of the regular workload.

Continuation of position is dependent on (but not limited to) program/operational needs, satisfactory work performance, availability/renewal of funds

Position Summary:

The early college specialist role includes two components:

  1. Responsibilities associated with early college programs
  2. Community Outreach to Maui County secondary schools. This position will support the UH Maui College (UHMC) Early College Program through recruitment, admissions, and other high school support.

Duties and Responsibilities:

PROGRAM COORDINATOR

  1. Support collaborative partnerships with Maui County secondary schools as part of the UHMC early college program.
  2. Assist the office of the Registrar with handling early college admissions processes; communicate with students, counselors, and instructors.
  3. Provide support for enrollment and onboarding activities for identified groups of students and communicate regularly with high schools, students, parents, counselors, and faculty as a primary contact on campus for dual enrollment.
  4. Support and inform Enrollment Management Services, Academic Affairs, and relevant campus partners regarding ongoing updates to approved multiple measures and academic preparation policies.

GENERAL ADVISING

  1. Assist in the organization and implementation of matriculation activities, such as orientation, advising, and follow-up services to students.
  2. Facilitates orientation for students, parents, and school district personnel new to the dual enrollment program.
  3. Deliver Early College presentations, offer individual and group school advising, and schedule attendance at community events (e.g., college fairs, parent nights) at local school sites.
  4. Coordinate students' targeted intervention needs between the college and instructor, such as tutoring, counseling, mentoring, etc.

STUDENT SUPPORT

  1. Provide student support services to early college high school students.
  2. Schedule training and oversee student assistants as technical support to remote learning sites and to guide high school students and instructors on the technologies used in the classroom.
  3. Create, administer, and summarize survey data at the end of each semester from college course instructors, parents, and students.

SUPERVISORY

  1. Supervise the work of student employees who are responsible for providing academic support measures such as tutoring, mentoring, and effective learning strategies.
  2. Monitors, coordinates, or directs the work of lower-level personnel, clerical assistants, and/or student assistants.
  3. Reviews the work of others and/or provides training to others in areas of expertise. Refers policy matters to the supervisor.

Maintain positive and effective working relationships with academic divisions, other student services units, campus organizations, governing bodies, and the College administration.

Be current on College/University, State, and Federal regulations about the function of records and admission, and assist in ensuring compliance with these regulations.

Assist the project director with implementing fiscal-related projects and report outcomes.

Assist with the preparation of the annual program review, student learning outcomes, direct reports, and evaluations to improve student outcomes.

Minimum Qualifications:

Education and Professional Work Experience:

  • Possession of a baccalaureate degree in Education, Humanities, Social Science, Human Relations, or related field and three (3) years of progressively responsible professional experience with responsibilities for student support services in higher education; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills, and abilities as indicated.

Knowledge, Skills, and Abilities:

  • Considerable working knowledge of principles, practices, and techniques in the area of student services and or educational records, as demonstrated by the broad knowledge of the full range of pertinent standards and evolving concepts, principles, and methodologies.
  • Considerable working knowledge and understanding of applicable federal and state laws, rules, regulations, and theories and systems associated with educational records.
  • Demonstrated ability to resolve wide-ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective, innovative, and timely manner.
  • Demonstrated ability to interpret and present information and ideas clearly and accurately in writing, verbally, and by preparing reports and other materials.
  • Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team leaders and members, and individuals.
  • Demonstrated ability to operate a personal computer and apply word processing software.
  • For supervisory work, demonstrated ability to lead subordinates, manage work priorities and projects, and manage employee relations.

Supplemental Minimum Qualifications:

  1. Handling college-level student records and registration, maintenance of confidential records; or equivalent education/training experience.

Desirable Qualifications:

  1. Demonstrated knowledge of the Family Educational Rights and Privacy Act (FERPA) regulations.
  2. Experience using and extracting data from a student information database in a college/university setting.
  3. Experience with Banner Student Module.
  4. Demonstrated knowledge of University of Hawaii residency policies and employee and student employee regulations.
  5. Proficiency with computer software applications in terms of data spreadsheets, presentations, and email.
