Job Summary:

Reporting to the Sr. Director, Global Experience, the Onsite Production & Operations Coordinator supports the assigned Project Managers with Vibee's onsite activations. This includes coordinating with the Venue Managers with opening and closing procedures, coordinating vendors, managing schedules, and helping the team stay organized and on track.

THE ROLE

Reporting to the Sr. Director, Global Experience, the Onsite Production & Operations Coordinator supports the daily operations of Vibee's onsite activations. This includes assisting with opening and closing procedures, coordinating vendors, managing schedules, and helping the team stay organized and on track. This role works closely with the CX and onsite ops team to ensure smooth execution of all onsite functions, and seamless Guest Experience.

RESPONSIBILITIES

Daily Operations Support

  • Coordinate daily production schedules and ensure alignment with overall project timelines.
  • Maintain accurate records of materials, work orders, and production outputs.
  • Assist in resource planning and allocation to maximize efficiency and meet deadlines.
  • Support communication between departments to ensure seamless handoffs and information flow.
  • Manage inventory levels and coordinate procurement needs with the supply chain team.
  • Ensure compliance with company policies, safety standards, and industry regulations.
  • Monitor the daily flow of the space, providing real-time support across staffing, logistics, and guest-facing moments.
  • Help enforce standards around cleanliness, safety, and brand experience.

Vendor & Partner Coordination

  • Oversee and communicate with onsite vendors, including, but not limited to:
    • IPS
    • Discreet
    • Venetian Cleaning
    • Additional third-party vendors as needed
  • Track and follow up on vendor scheduling, presence, and execution in the space.
  • Ensure all partners are aligned with venue protocols and activation expectations.

Scheduling & Team Coordination

  • Collaborate with the Onsite Operations Manager to review and approve team hours in TCP.
  • Assist with access/logins for new team members as needed

QUALIFICATIONS

  • 2+ years of experience in event production, venue operations, or experiential activations
  • Excellent organizational and multitasking abilities
  • Strong communication skills and vendor coordination experience
  • Comfortable working in fast-paced, guest-facing environments
  • Familiarity with scheduling/timekeeping platforms (TCP experience a plus)
  • Willingness to work flexible hours, including evenings, weekends, and holidays as needed

WORK ENVIRONMENT

  • Must be able to tolerate loud noise levels & busy environments on site at our events
  • May sit for extended periods of time and work in drastic temperature climates.
  • Must be willing to work during evening and weekend hours, as required, to meet deadlines
  • Must be willing to travel as required.
