WE'RE HIRING: MARKETING PROPOSAL COORDINATORLOCATION: PENSACOLA, FLORIDA


Donovan-Hill Group is looking for a Marketing Proposal Coordinator who can take ownership of proposals and help move pursuits from planning through final submission. This position will work directly with project managers, engineers, surveyors, and firm leadership to turn technical information into clear, accurate, and persuasive proposals. The coordinator will prepare SF 330 packages and respond to RFQs and other solicitations for local, state, and federal clients. This is a hands-on position for someone who is a strong writer, highly organized, attentive to detail, and comfortable managing several deadlines at once.


  WHAT YOU'LL DO

  • Coordinate proposals, statements of qualifications, prequalification packages, and related marketing submissions.
  • Review solicitations and develop proposal outlines, compliance matrices, schedules, assignments, and submission plans.
  • Write, edit, proofread, format, and assemble proposal content.
  • Work with technical staff to select and develop project descriptions, resumes, technical narratives, and graphics.
  • Manage proposal schedules and follow up with team members to keep submissions on track.
  • Conduct quality-control reviews for compliance, accuracy, consistency, and presentation.
  • Manage final document production, electronic uploads, and submission confirmation.
  • Maintain and update resumes, project profiles, templates, firm information, certifications, and other marketing materials.
  • Research project opportunities, clients, agencies, conferences, and networking events.
  • Support presentations, interviews, and other business development activities.

Requirements

  WHAT WE'RE LOOKING FOR

  • At least three years of experience in proposal coordination, marketing, communications, or a related position.
  • Excellent writing, editing, proofreading, and organizational skills.
  • Experience preparing proposals, statements of qualifications, presentations, or similar professional materials.
  • Ability to manage multiple assignments and meet firm deadlines.
  • Strong attention to detail and the ability to interpret solicitation requirements.
  • Proficiency with Microsoft Office and Adobe Creative Cloud, particularly InDesign and Acrobat.
  • Bachelor's degree in marketing, communications, business, English, journalism, or a related field is preferred.
  • Experience preparing SF 330 packages, public-sector proposals, or qualifications-based submissions is strongly preferred.
  • Experience with an architecture, engineering, construction, or professional services firm is a plus.
