What You’ll Be Doing:
As a Production Assistant, you will support operational workflows that help ensure successful event execution from initial quote through final billing.
  • Quoting Support – Assist with quote preparation and updates to ensure accuracy, efficiency, and profitability.
  • Documentation Management – Request, collect, track, and maintain client documentation including certificates of insurance, credit requests, tax exemption certificates, terms and conditions, and signed agreements.
  • Billing & Invoicing Support – Partner with Account Executives to ensure deposits, invoicing, and billing processes are completed accurately and on time.
  • Deadline Management – Monitor Technical Prep List (TPL) and List of Labor (LOL) deadlines while communicating reminders and escalating missed deadlines when necessary.
  • Crew & Show Coordination – Ensure crew schedules, event documentation, and show information are accurately posted and maintained within internal systems.
  • Equipment & Labor Verification – Assist Account Executives with reviewing equipment and labor requirements to ensure quote accuracy.
  • Expense Processing – Review technician expense submissions and assist with approval workflows.
  • Reporting & Communication – Monitor Open Quote Reports and communicate updates to internal stakeholders.
  • Administrative Support – Provide day-to-day operational and administrative assistance to support successful event execution.
  • Cross-Functional Collaboration – Work closely with Account Executives, Operations, Production, and Technical teams to maintain efficient workflows and communication.
