Business Operations Manager

Position Overview

Our client is seeking a highly organized, strategic, and execution-focused Business Operations Manager / Chief of Staff to work closely with executive leadership and help drive operational excellence across the organization.


This individual will serve as a key partner to leadership, ensuring priorities are executed effectively, operational processes run smoothly, and strategic initiatives continue moving forward. The role requires a unique combination of business acumen, organizational excellence, financial awareness, and the ability to coordinate efforts across multiple departments.


The ideal candidate is highly educated, intellectually curious, detail-oriented, and comfortable operating in a fast-paced environment where priorities evolve quickly. This person should be capable of balancing strategic thinking with hands-on execution while helping leadership scale the organization.


Key Responsibilities:

● Facilitate and coordinate recurring leadership, planning, and operational meetings, including EOS-based processes and accountability tracking.

● Drive follow-through on company initiatives, priorities, and strategic objectives.

● Partner closely with executive leadership on special projects and organizational initiatives.

● Support day-to-day business operations and identify opportunities to improve efficiency and scalability.

● Assist with payroll administration, workforce planning, and operational reporting.

● Develop and maintain operational processes, documentation, and performance metrics.

● Coordinate cross-functional initiatives involving operations, finance, technology, and AI-focused teams.

● Track project progress, milestones, risks, and deliverables to ensure successful execution.

● Prepare reports, dashboards, and business insights for leadership decision-making.

● Serve as a trusted liaison between leadership and internal stakeholders.


Financial & Workforce Planning

● Assist leadership in managing workforce investments, operational budgets, and resource allocation.

● Support oversight of contractor and employee engagements across multiple functions.

● Monitor operational spending and workforce utilization.

● Provide reporting and recommendations related to staffing, operational efficiency, and budget performance.

● Partner with leadership on workforce planning initiatives involving annual expenditures approaching $1 million.


Qualifications

Required

● Experience in operations, business management, consulting, project management, finance, or a related field.

● Exceptional organizational, communication, and project management skills.

● Strong analytical and problem-solving abilities.

● Ability to manage multiple priorities while maintaining attention to detail.

● Experience supporting senior leaders, executives, or leadership teams.

● Strong proficiency with business systems, reporting tools, and productivity platforms.
