Description
The Development Associate possesses knowledge of non-profit development, strong communication skills, attention to detail, and enthusiasm to support the mission of Kitsap Humane Society (KHS). This position is an integral member of the dynamic and growing development team and will offer critical support to achieve the fundraising and donor stewardship goals of KHS. Support functions include database management, gift processing, report generation, program management, and donor relations.
The Development Associate will report to and work closely with the Development and Outreach Manager. At times will work with the Events Coordinator, Executive Director, Marketing Team, Finance Team and individual members of the Board of Directors.
Major Duties and Responsibilities
Database Management/Gift Processing and Acknowledgement:
  • Manage the timely recording and acknowledgement of gifts and ensure that all types of donations (cash, pledges, matching gifts, in-kind and planned gifts) are properly documented.
  • Create, update, and maintain all donor records in an efficient and effective manner.
  • Generate reports and other data to support analysis and decision making for development programs.
  • Help ensure data integrity through accurate, consistent data entry and ongoing reconciliation.
  • Stay abreast of best practices for database management and usage.
  • Maintain a working knowledge of applicable tax information/stewardship as it relates to generally accepted accounting principles.

Donor Relations:
  • Create and update donor listings, mailing lists, and other development content as needed.
  • Assist with the production and distribution of gift acknowledgement letters, appeals, donor materials, and large mailings.
  • Communicate with and provide exceptional customer service to constituents over the phone, in-person and by email.

General:
  • Collaborate with other departments, including finance, marketing, and shelter teams to collect or share information.
  • Work independently and within a team on special, nonrecurring and ongoing projects.
  • Supports fundraising projects, priorities, and Development teammates on an as needed basis.
  • Oversight of KHS' auto donation program.
  • Other duties as assigned, as needed to support the Development Department, Development Programs, Finance and Marketing Teams.

Requirements
Required Qualifications
  • At least two years of experience in an office environment, nonprofit strongly preferred
  • Proficiency in MS Office, experience with fundraising databases. Experience with data reporting preferred.
  • Excellent organizational and communication skills (written and spoken)
  • Strong track record of effective time management, handling multiple projects, and responding effectively to changing priorities
  • Collaborative, highly organized self-starter who can work independently as well as with a team in a complex and fast-paced environment
  • Thoughtful approach when communicating with donors, volunteers, and colleagues
  • Ability to work independently, solve problems and actively seek assistance when needed
  • Strong attention to detail, with a high degree of accuracy
  • Discretion and confidentiality with respect to donor records
  • Ability to work in fast-paced and growing environment in a shared office space
  • Ability to work some evenings and weekends
  • Valid driver's license

Hours and Schedule:
  • This position is full time-hourly, 40 hours/week
  • This position is an in-person position that requires work to be done onsite.
  • Flexible work schedule, generally Monday through Friday 9-5:30p
  • An ability to work some flexible hours as needed, including some later evenings and weekends (as needed to support events/development)
