Job description

Position Summary
The Dispatcher is a vital operational role requiring a high degree of accuracy in the execution of inbound and outbound shipments. The position holder is primarily accountable for coordinating between various internal and external stakeholders, including drivers, inspectors, warehouse and sales teams, to effectively manage inventory and control access to and from the plant. As gatekeepers, Dispatchers control not only access to the plant but to inventory, inbound and outbound shipment documentation.
Able to discern priorities, communicate and correct errors, communicate effectively, and move from one task to the next with relative ease, all the while demonstrating a high level of service and professional etiquette. Technical aptitudes with telephone and various computer systems, as well as the ability to multi-task and perform with a high degree of accuracy are essential to the success of this role.
Minimum Qualifications
  • Education amp; Experience
    • High School Diploma or equivalent
    • Prior experience working in a Dispatch, Shipping or Receiving capacity preferred
    • Produce experience preferred
  • Skills amp; Characteristics
    • Possess strong organization, coordination and communication skills
    • Flexible, dependable and able to prioritize and adapt work based on business needs
    • Convey professional etiquette when dealing with stakeholders
    • Bilingual (English and Spanish) strongly preferred
    • Be a team player, supporting others in the organization when not busy
  • Technology
    • Working knowledge of Famous Software strongly preferred
    • Proficient with use of MS office (Outlook, Word, Excel)
    • Experience with I-Trade and other EDI portals
  • Other
    • Must be able to work in the U.S.
    • Able and willing to work extended hours, including weekends, on an alternating schedule
    • Be able to work with a computer while sitting or standing, sometimes for extended periods.

Key Responsibilities
Dispatch (Shipping amp; Receiving)
  • Answer phone while demonstrating a high level of customer service.
  • Sign in all approved visitors, including inspectors and drivers, alerting Foreman of suspicious activity.
  • Print the custom load sheet and custom pick up sheets, and coordinate with others as needed on inbound and outbound orders.
  • Coordinate loading and unloading of daily shipments with warehouse staff, print pick tickets, review paperwork, and troubleshoot any issues with the team and Foreman as needed.
  • Learn and champion Famous Software to effectively carry out work.
  • Responsible for daily inventory balancing, ensuring physical count matches Famous.
  • Support repack efforts with inventory transfers, adjusting inputs and outputs, printing pallet tags, and troubleshooting as needed to ensure work accuracy.
  • Support cross training efforts to ensure workload is covered during absences and peak work periods.
  • Ensure adequate recordkeeping and filing for dispatch activities.
  • Print pallet tags, PTI labels, or general repack labels as needed.
  • Carry out In amp; Out work activities such as daily reports, I-Trade shipment confirmations, etc. for warehousing customers.
Food Safety amp; Compliance
  • Participate in meetings, training, and follow food safety and food security SOPs.
  • Ensure dispatch activities support the food safety program, including but not limited to:
    • Following proper receiving, shipping and access control procedures.
    • Ensuring prior load does not pose a cross-contamination risk for product loaded at our facility.
    • Obtaining all required signatures and ensuring accuracy in paperwork.
    • Supporting audit and on-site inspections procedures.
  • Complete and turn in assigned logs to the Food Safety Coordinator accurately and on time.
  • As a first responder, read, understand and execute the company’s Regulatory Inspections SOP. Know what to do if an FDA or state official shows up for an unannounced inspection.
  • Ensure pandemic procedures are followed in coordination with the Foreman and compliance team on tasks such as temperature readings, logs, and distribution of personal protection equipment (PPE).
Warehouse Operations
  • Support Foreman and Operations Manager with general duties when not busy with dispatch activities, including conducting inventory floor counts, performing inspections, sanitation, Famous reporting, or other work.
