The Associate, Operations Excellence is the central point of coordination that keeps our Operational Excellence initiatives running smoothly. In this role, you will support departmental projects, communications, invoice administration, SharePoint management, and operational programs that power national initiatives across the portfolio.

This position is important because you connect the details to the bigger picture - partnering with internal stakeholders and external vendors to ensure the efficient, day-to-day execution that our teams and sites rely on. If you are organized, detail-driven, and energized by keeping many moving parts on track, this is a role where your impact will be felt every day.

You Will Be Responsible For

  • Coordinating and supporting Operational Excellence projects and initiatives - tracking deliverables, preparing materials, and supporting stakeholder communications.

  • Managing and triaging requests received through shared departmental inboxes, ensuring inquiries are routed appropriately and resolved in a timely manner.

  • Administering and maintaining Operational Excellence SharePoint sites, including publishing content, managing documentation, and keeping information current and accessible.

  • Coordinating the processing of invoices, approvals, and related documentation, while supporting budget administration activities.

  • Serving as the primary administrator for the Amazon Business program, including user onboarding, account management, and stakeholder support.

  • Preparing meeting agendas, presentations, reports, and other business materials to support operational planning and decision-making.

  • Coordinating departmental events, workshops, training sessions, and other team initiatives.

  • Building effective working relationships with site teams, corporate functions, vendors, and other stakeholders to support operational excellence across the business.

  • Supporting continuous improvement by identifying opportunities to enhance processes, communication, and administrative efficiency.

Required Skills & Experience

  • 4-6 years of experience in a project coordination, operations, administrative, or business support role.

  • Familiarity with invoice processing, approval workflows, and budget administration.

  • Experience administering vendor or procurement programs

  • Strong organizational and time-management skills, with a proven ability to manage multiple priorities and deadlines with minimal oversight.

  • Proficiency across Microsoft 365 (Outlook, Teams, Excel, and SharePoint), including hands-on experience managing SharePoint sites, content, and document libraries.

Preferred Skills & Experience

  • Post-secondary education in Business Administration, Communications, Office Administration, or a related field.

  • Experience working in a corporate, real estate, property management, or similar environment.

  • Excellent written and verbal communication skills, with strong attention to detail and a commitment to accurate, high-quality work.

  • Ability to work independently, exercise sound judgment, and build effective relationships across a broad stakeholder group.

This posting is for an existing vacancy.The expected salary range for this position is $62,000 to $72,000 per year.
