GENERAL DESCRIPTION
The Workforce Development Administrative Assistant is 28hr/week M-F for 52 weeks position. Provide administrative support to the Vice President of Workforce Economic and Institutional Development. This position requires knowledgeable skills that include: understanding of federal and state grants, assist with outreach, recruitment, enrollment and office administrative work.
QUALIFICATIONS
Preferred to a Bachelor Degree in an appropriate area of specialization.
Proficiency with Microsoft Word and Excel.
Demonstrated ability to work independently and as a pai1 of the team.
Demonstrated experience in working effectively with low income, underserved adult learners and high school dropout students.
Strong interpersonal, organizational and time management skills
High level of customer service and interpersonal skills.
Demonstrated ability to deal tactfully and effectively with a diverse group of clients at all levels.
Ability to handle multiple assignments and meet deadlines
Requirements:
RESPONSIBILITIES
ESSENTIAL JOB FUNCTIONS:
This position will support the Vice President of Workforce Economic and Institutional Development with:
Organize and maintain students electronic and paper files of grant documents and resources
Responsible for data entry into LACES system.
Produce reports including grant activity reports, and other reports as needed for the VP of Workforce Development and program teams.
Support VP of Workforce Development with administrative tasks related to contract grants compliance, generating grant documents.
Handle all incoming and outgoing correspondences including new students inquires, placement test, adding student's info into LACES.
Collaborate with appropriate college offices to maintain student files and reporting systems.
Work with the ABE/ESOL Program Coordinator and WD team to assist with data entry, follow up with students and instructors.
Maintain test schedule for the HiSET tests and oversee tests schedule for both Quincy and Plymouth campus and manage enrollment numbers.
Coordinate with proctors or ABE/ESOL Program Coordinator on any needs related to proctoring new placement tests.
Requirements:
Experience with ABE/ESOL programs, preferable 5 years.
Master's degree in education preferred.
Experience with DESE ABE & ESOL program requirements.
Experience working and teaching adult learners and diverse populations.
Experience in grant writing.
Excellent organizational skills.
Excellent computer skills.
Excellent oral and written communication skills.
Experience in using technology in the classroom. Experience in instructional design a plus.
Ability to adapt teaching styles and materials to meet individual needs of students.
