The Opportunity

Osman Construction Corporation is seeking a dependable and detail-oriented Administrative Assistant to support our commercial construction operations in Arlington Heights.

You will work closely with project managers, estimators, subcontractors and office leadership to keep bidding, insurance and project-document workflows organized and moving forward. This is an onsite opportunity for an administrative professional who understands the pace and documentation requirements of a commercial general contractor and can manage multiple priorities with accuracy and follow-through.


How You Will Make an Impact

  • Assist estimating and project-management teams with distributing bid documents and project information.
  • Contact subcontractors regarding bid opportunities and follow up on outstanding responses.
  • Collect, track and organize subcontractor bids and related documentation.
  • Manage and organize project records, including contracts, purchase orders, certificates of insurance, warranty packages and closeout documents.
  • Monitor subcontractor certificates of insurance and follow up on expired or missing documentation.
  • Enter, update and organize information in Procore, BuildingConnected and other construction-management systems.
  • Coordinate routine communication among project managers, subcontractors, architects, clients and field personnel.
  • Maintain accurate electronic and physical filing systems.
  • Track deadlines and follow up on outstanding documents, approvals and action items.
  • Provide administrative support across multiple departments as business needs require.


Required Qualifications & Experience

  • 3+ years of administrative experience in construction or a closely related contractor environment.
  • Experience supporting a general contractor, subcontractor or construction project team.
  • Proficiency in Microsoft Office, including Word, Excel and Outlook.
  • Experience using Procore, BuildingConnected or comparable construction-management software.
  • Experience organizing time-sensitive project documents and following up with internal and external stakeholders.
  • Strong written and verbal communication skills.
  • High attention to detail and accuracy.
  • Ability to manage multiple priorities and competing deadlines in a fast-paced office.
  • Ability to work onsite full time in Arlington Heights.


Preferred Qualifications and Experience

  • Administrative experience with a commercial general contractor.
  • Experience supporting multimillion-dollar commercial construction projects.
  • Experience managing contracts, purchase orders, certificates of insurance, bid documentation or warranty packages.
  • Associate degree in business administration, construction management or a related field.
