Job Description We are seeking an Executive Assistant to join our team onsite. The ideal candidate will have strong experience in complex calendar management, domestic and international travel coordination, expense reporting, meeting support, and executive communications and a proven ability to operate with discretion, manage competing priorities, and enable senior leaders to focus on strategic objectives. Responsibilities: Manage highly complex executive calendars, including scheduling, prioritizing, and resolving conflicts across stakeholders and time zones. Coordinate domestic and international travel, prepare itineraries, manage logistics, and reconcile travel expenses. Prepare, submit, and track expense reports in compliance with company policies and financial guidelines. Support executive meetings by coordinating agendas, preparing materials, capturing action items, and ensuring follow-through. Serve as a primary point of contact for internal and external stakeholders while maintaining professionalism and confidentiality. Handle sensitive and confidential information with discretion and sound judgment. Coordinate organizational events, leadership meetings, team off-sites, and executive communications. Track and monitor key deliverables, deadlines, and action items to ensure timely completion. Develop and maintain administrative processes that improve efficiency and executive productivity. Assist with reporting, presentation preparation, and data management to support decision-making. Partner with Human Resources, Finance, Operations, and senior leadership to facilitate business priorities. Anticipate executive needs and proactively address issues before they impact operations. Perform additional administrative and operational support duties as assigned. Required Skills & Qualifications: Bachelor's degree in Business Administration, Communications, or related field, or equivalent experience. 5+ years supporting senior executives in a fast-paced corporate environment. Demonstrated expertise in complex calendar management, travel coordination, and expense reporting. Strong organizational, prioritization, and multitasking skills. Exceptional verbal and written communication skills. Advanced proficiency with Microsoft Outlook, Teams, Word, Excel, and PowerPoint. Ability to maintain confidentiality and exercise sound judgment in sensitive situations. Proven ability to work independently with minimal supervision. Preferred Skills: Experience supporting Vice Presidents, Senior Vice Presidents, or C-level executives. Experience managing multi-executive calendars and global stakeholders. Project coordination and event planning experience. Certified Administrative Professional (CAP) or similar certification is a plus.
