Job description

Who We Are
At Encore Fire Protection, we are proud to be the east coast's largest full-service fire protection company, serving over 90,000 customers from Maine to Louisiana. With a team of over 2,200 dedicated employees, we provide innovative, customized fire suppression, fire sprinkler, and fire alarm solutions that protect lives and properties every day.
Our goal is to deliver superior experience to those who trust us to safeguard what matters most. We are passionate about continuous growth, innovation, and maintaining a culture that thrives on success and commitment to safety. Our mission? To be the best fire protection company the industry has ever seen.
The Opportunity
We're looking for a highly organized, proactive Executive Assistant to support our Chief Operating Officer (COO). This is a high-impact role for someone who enjoys operating behind the scenes to keep executives focused on the highest-value work. As Encore continues to grow, this position is expected to expand its support to include our Chief Revenue Officer (CRO), making it an exciting opportunity to grow alongside the business.
This isn't a traditional administrative role. You'll be a trusted partner responsible for anticipating needs, solving problems before they arise, and bringing order to an incredibly fast-moving environment. If you're energized by juggling competing priorities, thrive under pressure, and enjoy working with senior leadership, we'd love to meet you.
Key Responsibilities
  • Serve as the primary strategic administrative partner to the COO, with future support responsibilities for the CRO.
  • Manage complex calendars, balancing changing priorities and business demands.
  • Coordinate domestic travel, meeting logistics, and executive itineraries.
  • Prepare agendas, presentations, reports, meeting materials, and executive correspondence.
  • Organize leadership meetings, capture action items, and follow up to ensure timely completion.
  • Act as a gatekeeper for executive priorities, exercising sound judgment and discretion when handling requests.
  • Partner with senior leaders across Operations, Sales, Finance, HR, and other departments to coordinate initiatives.
  • Assist with board materials, leadership off-sites, and company-wide meetings.
  • Manage confidential and highly sensitive information with professionalism and discretion.
  • Identify opportunities to improve administrative processes and create efficiencies.
  • Support special projects and strategic initiatives as assigned.

What You Bring to the Table
  • 5+ years of experience supporting C-level executives or senior leadership in a fast-paced, high-volume environment.
  • Experience managing complex calendars with constantly shifting priorities.
  • Experience coordinating travel and executive meetings.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication skills.
  • High attention to detail with excellent follow-through.
  • Proven ability to prioritize multiple competing demands with minimal direction.
  • Strong judgment, professionalism, and discretion when handling confidential information.
  • Advanced proficiency with Microsoft Office (Outlook, Excel, PowerPoint, Word) and Microsoft Teams.
  • A proactive, solution-oriented mindset with the ability to anticipate executive needs before they arise.

What Will Make You Stand Out?
  • Experience supporting executives within a private equity-backed, high-growth organization.
  • Experience supporting multiple executives simultaneously.
  • Experience coordinating executive leadership meetings or board meetings.

Beyond the Paycheck
At Encore, we're all about creating a culture where success is celebrated. We recognize that our work makes people's lives safer, and we reward those who contribute to our growth. Here's what you can expect:
  • Competitive Salary: Compensation commensurate with your experience, with the opportunity to earn performance-based bonuses tied to your personal effectiveness and contributions to the team.
  • Purpose-Driven Work Environment: We believe in working smarter, not harder. You'll be part of a culture that values results, and we empower our team to focus on impactful work.
  • Flexible Dress Code: Upon joining, you'll receive branded Encore swag, and we believe in dressing for the objective, not the occasion. Most days, you can enjoy a casual work environment, but we'll dress up when the situation calls for it.
  • People-Focused Culture: We know our greatest strength is our people. That's why we've built a culture that encourages experimentation, learning, and improving together. You'll have the space to share your ideas and help shape a company that is constantly growing.
  • Tools for Success: Access to leading-edge web-based productivity tools.
  • Health and Wellness: Comprehensive medical, dental, and vision coverage to keep you and your family healthy.
  • Retirement Planning: Participation in our Fidelity 401(k) plan with a company match, helping you save for your future.
  • Life Insurance: Company-paid life insurance policy of $50,000 to give you peace of mind.
