Position Overview

Assists Project Manager and with the planning and daily execution of the construction project. Responsible for maintaining certain aspects of the project schedule as assigned by the Project Manager, by managing the process of submittal approvals, coordinating the timely delivery of materials, maintaining schedules and budgets.
Key Responsibilities (Essential Duties and Functions)
Project Financial Responsibilities

  • Assists project management by proactively managing the project budget by controlling expenses, administering owner and subcontractor billings, identifying work not covered by subcontractor’s scope of work/budget and ensuring the success of office support functions related to the overall cost and scheduled completion.

Preconstruction Services

  • Establish procedures for controlling/distributing contract drawings.
  • Initiates set-up of the job management file system on the N: Drive.
  • Assists with the scopes of work, Request for Pricing package development and help solicit subcontractors and suppliers.
  • Initiates the building permit process.

Project Initiation

  • Manages set-up of Project systems/Folders (Project files on N: Drive, project number, Plan Grid accounts/content, project directories, document templates and files).
  • Assists in soliciting project subcontract services and follow-up on proposals/pricing due as assigned by Project Manager
  • Assists with preparation and coordination of proposals, manuals, and presentations.
  • Coordinates and participates in all project kick-off meetings.

Project Administration

  • Attends project meetings with Owner, Design Team and other team members, proactively prepares and distributes meeting-specific agendas, meeting minutes and other supporting documentation.
  • Assists in preparation of Client requested documents and timely distribution of those documents to the Project Manager for review and external distribution
  • Reviews and understands Project Scope of Services within the Project Contract to help ensure project team delivers expected services.
  • Manages project tracking logs (RFI, Submittal, Subcontractor CO, Quality…) and facilitates the receipt, review, distribution and filing of such project documentation.
  • Assist Project Manager in Subcontractor change order pricing and subsequent subcontract change orders.
  • Manages the Project Closeout Process and responsible for the completion and timely delivery of information to Client and Design Team

Promote Client Relations

  • Builds effective relationships with Client, user groups, design team that reflect and support company core values and meet the Client’s expectations.
  • Actively participates in industry, Client, and community relations to enhance company image.
