The Big Task

As an Scheduling Coordinator, you will oversee the daily coordination of residential HVAC installations from the time a job is sold until it is completed. You'll work closely with customers, installers, field leadership, sales, logistics, and support departments to ensure installations are scheduled efficiently, completed accurately, and provide an exceptional customer experience.

Key Sub Tasks
  • Coordinate daily installation schedules to maximize efficiency, profitability, and customer satisfaction.
  • Serve as the primary point of contact for customers before, during, and after installation, resolving concerns professionally and promptly.
  • Communicate and collaborate with installers, field supervisors, sales, logistics, and customer experience teams to keep projects on track.
  • Maintain accurate customer records and process installation paperwork, payments, permits, and required documentation.
  • Coordinate gas line installations from scheduling through completion.
  • Monitor outstanding permits and customer balances while partnering with Accounts Receivable as needed.
  • Assist with installer scheduling, Saturday availability, approved time-off requests, and weekly payroll verification.
  • Provide administrative and technical support related to ServiceTitan, Wells Fargo, Synchrony, and internal processes.
  • Identify opportunities to improve scheduling efficiency and support operational projects as assigned.
  • On-Call Rotation Team members share after-hours scheduling responsibilities through a rotating schedule, with each coordinator serving one week approximately every two months.
Desired Skills and Experience

We're looking for someone who is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment. Successful candidates communicate confidently with customers and internal teams, remain composed under pressure, and take pride in solving problems.

Preferred Qualifications:

  • 13 years of customer service, scheduling, operations, or administrative experience.
  • Strong computer skills, including Microsoft Outlook, Excel, and Word.
  • Excellent organizational, time management, and communication skills.
  • Ability to adapt to changing priorities while maintaining accuracy and professionalism.
  • Experience in HVAC, home services, construction, or scheduling is a plus but not required.
