Job description

Position Title: Document Control Coordinator
Location: Sparks, Nevada
Compensation: $28.00-$33.00/h | Benefits: Health, Vision, Dental |
Position Overview
The Document Control Coordinator manages the receipt, distribution, tracking, and organization of construction drawings, specifications, RFIs, submittals, bulletins, ASIs, and other project documentation. This role ensures that project teams have access to the most current approved documents, and that outdated information is properly identified and removed from active use.
The Document Control Coordinator serves as a central point of coordination between the General Contractor, Project Manager, superintendent, BIM, QA/QC, procurement, commissioning, and field teams. This position maintains accurate revision records, document logs, distribution histories, and organized project files throughout the project lifecycle.
This role also supports project turnover and closeout by maintaining as-built drawings, O&M manuals, testing records, commissioning documentation, and other required closeout packages.
Key Responsibilities
  • Receive drawings, specifications, RFIs, submittals, bulletins, ASIs, and other project documents from the General Contractor.
  • Submit project documents, responses, and requested information to the General Contractor through the approved document management system.
  • Maintain the official current set of project drawings and specifications.
  • Review new drawing packages and project documents to identify revisions, additions, and changes.
  • Remove, archive, or clearly mark outdated documents as superseded to prevent unintended use.
  • Notify project stakeholders when drawings, specifications, RFIs, submittals, or other controlled documents are revised or updated.
  • Maintain accurate drawing, RFI, submittal, revision, distribution, and document-control logs.
  • Confirm that field personnel are working from the latest approved drawings, specifications, and project documents.
  • Maintain records showing who received each document revision and when it was distributed.
  • Coordinate document-control activities with the Project Manager, superintendent, BIM, QA/QC, procurement, commissioning, and field teams.
  • Maintain organized electronic project folders, standardized file structures, and consistent document-naming conventions.
  • Support the collection, organization, and submission of turnover documents, as-built drawings, O&M manuals, testing records, and closeout packages.
  • Enforce established document-control procedures across office and field teams.

Required Experience & Qualifications
  • 2-3 years of experience in construction document control, project coordination, project administration, or related role.
  • Experience using Procore, Autodesk Construction Cloud (ACC), or another construction document management system.
  • Knowledge of construction drawings, specifications, RFIs, submittals, bulletins, ASIs, and document-revision processes.
  • Ability to read and interpret electrical plans, schedules, details, equipment tags, and related construction documentation.
  • Experience maintaining document logs, revision histories, distribution records, and electronic filing systems.
  • Strong organizational skills and attention to detail.
  • Clear written and verbal communication skills.
  • Ability to identify drawing revisions, conflicting information, and documentation discrepancies.
  • Proficiency with Microsoft Excel, Word, PDF software, and electronic document-filing systems.
  • Ability to communicate promptly and effectively with office, field, contractor, and project management teams.
  • Ability to manage multiple priorities, meet project deadlines, and enforce document-control procedures consistently.

Preferred Qualifications
  • Associate degree or technical training in construction management, engineering technology, business administration, or a related field is preferred; equivalent experience may be considered.
  • Previous document-control experience within electrical construction, data centers, commissioning, or mission-critical projects.
  • Bluebeam Revu training or certification is a plus.
  • Experience coordinating documentation with General Contractors, subcontractors, engineers, vendors, and owner representatives.
  • Experience supporting BIM, QA/QC, procurement, commissioning, turnover, or project-closeout activities.
  • Knowledge of construction document numbering, naming conventions, approval statuses, and revision-control standards.
  • Experience compiling as-built drawings, O&M manuals, testing documentation, and final turnover packages.
