Overview
The Administrative Clerk is responsible for overseeing and executing all aspects of expense processing for associates and other business support personnel at the firm; ensuring timely, accurate, and compliant reimbursement of expenses, liaises with internal departments, and supports operations. As well as, working with our Paralegal and Associate teams to provide tax documentation support across the firm. The clerk also serves as a point of contact for associates/business support personnel regarding expense policies and procedures.
Responsibilities
ESSENTIAL FUNCTIONS:
  • Expense Management & Processing:
    • Review and process associate expense reports for accuracy, completeness, and policy compliance using the firm's expense management system (e.g., Chrome River, Concur).
    • Verify receipts, ensure correct coding, and resolve any discrepancies or missing documentation.
    • Coordinate with associates to clarify and correct any issues in submitted expenses.
    • Monitor expense submissions for timeliness and follow up with associates as needed.
    • Process reimbursements in coordination with relevant stakeholders.

  • Tax Filing Documentation and Processing:
    • Responsible for accurate and timely handling of tax elections (83(b)s)
    • Review letters for accuracy based on firm and client guidelines. Working with the paralegal team for any corrections.
    • Utilize firm tools (e.g. WALZ, iManage) to process all mailings.
    • Coordinating with mailroom on scanning, mailing, and returning proof of receipt to paralegal/attorney teams.

  • Administrative & Operational Support:
    • Support other administrative functions and projects as needed.
    • Provide backup coverage to other administrative staff as required.

Qualifications
EDUCATION, EXPERIENCE AND SKILLS REQUIRED:
  • Education: Associate's degree or relevant experience.
  • Experience: 2-4 years of administrative or financial processing experience, preferably in a legal or professional services environment.
  • Technical Skills:
  • Proficiency with expense management systems (e.g., Chrome River, Concur) and Microsoft Office Suite (especially Excel).
