Fairway Construction is a vertically integrated real estate development and construction firm specializing in multifamily housing, with projects ranging from $5M to $50M. We build both market-rate and LIHTC-funded affordable housing across rural, urban, and suburban markets nationwide. Our team takes projects from concept through completion, with a focus on innovation, long-term value, and community impact.

We are seeking an experienced Preconstruction Coordinator to support the organization, administration, and execution of the preconstruction process for multifamily construction projects. This role is responsible for subcontractor solicitation support, bid tracking, document management, procurement coordination, and general preconstruction administrative support throughout the design and preconstruction phases.

Bid Management & Procurement Coordination

  • Assist with subcontractor identification, qualification tracking, solicitation, and bid coverage management
  • Coordinate distribution of bid documents, addenda, and project information to subcontractors and vendors
  • Track subcontractor participation, proposal status, and bid coverage throughout the bid process
  • Maintain subcontractor and vendor databases, including market coverage and trade partner information
  • Assist with bid tab organization, proposal collection, and procurement documentation
  • Support procurement planning efforts for long-lead materials and critical trade packages

Preconstruction Coordination & Documentation

  • Maintain organized project documentation including drawings, specifications, estimates, bid tabs, scope sheets, addenda, meeting minutes, and VE logs
  • Assist with management of project folders, document control systems, and internal tracking logs
  • Support utility coordination, permitting documentation, and jurisdictional tracking efforts as directed by the Preconstruction Team
  • Assist with preparation of preconstruction reports, presentation materials, and project turnover documentation
  • Coordinate internal meetings and maintain records of preconstruction activities and project milestones


Collaboration & Communication:

  • Coordinate effectively with internal departments, consultants, subcontractors, vendors, and municipalities throughout the preconstruction process
  • Communicate schedule impacts, bid coverage concerns, and documentation needs to the Preconstruction Team in a timely manner
  • Support Preconstruction Managers and Estimators with administrative coordination and project organization
  • Manage assigned responsibilities and deliverables in accordance with project schedules and department expectations
  • Maintain professionalism, organization, responsiveness, and attention to detail in a fast-paced project environment


Qualifications:

  • 2-5+ years of experience in construction administration, preconstruction coordination, estimating support, or project coordination preferred
  • Experience supporting multifamily, mixed-use, or commercial construction projects preferred
  • Strong organizational and document management skills with high attention to detail
  • Ability to read and interpret construction drawings, specifications, and project documents preferred
  • Experience coordinating subcontractor solicitation, bid tracking, or procurement activities preferred
  • Proficiency in MS Office suite, Bluebeam, Procore, MS Project and related construction management software preferred
  • Ability to work independently while supporting multiple concurrent projects and deadlines
