Job Summary:

The Practice Associate III is an experienced professional with in-depth knowledge of patient registration and surgical scheduling processes. The Practice Associate III is responsible scheduling and coordinating of surgical and in-office procedures and other specialty services. The Practice Associate III is part of a team that delivers an exceptional patient experience that contributes to positive health outcomes for patients and a work culture of Service-Oriented, Trust, Empathy, Safety, Inclusion, and Communication.

Job Responsibilities:

  • Coordinate and appointments, ultrasounds, surgeries, procedures and other specialty services.
  • Schedule post-operative and other follow-up appointments and other related tests.
  • Assist with coordination of care to other specialties and appointments.
  • Function as a liaison between the resident, attending physician, patient, and the OR, and patient with all aspects of scheduling.
  • Verify patient insurance eligibility, benefits, and coordination of benefits prior to the procedure date. Inform the patient on fees and ensures collection of copays and payments
  • Conduct all pre-determination, authorization and pre-certification.
  • Greet patients and visitors and answer patient telephone calls.
  • Conduct pre-registration, check-in, check-out, appointments and other related tasks as requested.
  • Obtain all required registration and intake information from patients; verify and/or update any new insurance or other information in EPIC; obtain prior authorizations and referrals for visits and tests and verifies eligibility for services; accurately indicate arrivals, no-shows, reschedules and physician cancellations in EPIC; collect all time-of-service and past due payments.
  • Manage and review physicians schedules to ensure all authorizations and pre-certifications for office visits, injections and procedures are obtained.
  • Provide general administrative support to physicians and manager.
  • Assists Supervisor/Manager with special projects and supervise specific tasks as determined.
  • Assists with onboarding new staff.
  • Perform other related duties as assigned.

Job Qualifications:

  • High school diploma or equivalency is required.
  • A minimum of 5 years relevant experience in a medical office environment with strong proficiency of medical terminology and surgical scheduling.
  • Strong organizational and problem solving skills and the ability to set priorities among multiple competing objectives tasks and initiatives.
  • Candidate must demonstrate strong customer service orientation and the ability to deliver consistent exceptional service while demonstrating tact, respect and sensitivity.
  • Excellent relationship management skills including but not limited to emotional intelligence, interpersonal skills, empathy and ability to handle situations with respect, tact and sensitivity.
  • Candidate must be organized and be able to manage a demanding workload and moderately complex cases in an accurate and timely manner.
  • Ability to mentor teammates and demonstrate professional and compassionate manner while conveying a positive image of the practice.
  • Candidate must demonstrate excellent verbal and written communication skills.
  • Strong proficiency of Microsoft Office (Word & Excel) or similar software is required and an ability and willingness to learn new systems and programs.
  • Prior experience in Epic/EHR is preferred.
  • Bilingual English/Spanish a plus, but not required.

Hourly Rate Ranges: $28.13 - $35.16

Note: Our salary offers will fall within these ranges based on a variety of factors, including but not limited to experience, skill set, training and education.
