Salary:

Position: Warehouse Administrative Clerk

Reports To: Warehouse Manager

Status: Full-time hourly

Position Summary:

The Warehouse Administrative Clerk is a key support role within warehouse operations, responsible for maintaining accurate records, tracking equipment data, and keeping administrative processes running efficiently. This position works closely with the Warehouse Manager and coordinates with field staff and project managers to ensure timely, accurate data entry, reporting, and document management. The ideal candidate is organized, detail-oriented, and comfortable navigating computer-based tools in a busy warehouse office environment.

Responsibilities:

  • Create and maintain spreadsheets to track materials, equipment, and operational data
  • Enter and update equipment hours in the internal inventory asset management system
  • Organize and maintain electronic filing systems for equipment records, charge outs, service logs, and other operational documents
  • Process charge outs and related transactions using the internal accounting program
  • Compile data and maintain records for the Monthly Revenue Review; distribute reports to appropriate staff
  • Prepare and distribute the internal weekly Production Planning and Control (PPC) report
  • Track and update vehicle mileage logs
  • Manage multiple tasks and shifting priorities in a fast-paced warehouse office environment
  • Schedule vehicle maintenance appointments with designated service vendors for company-owned vehicles
  • Answer a multi-line phone system and accurately relay messages to the Warehouse Manager and other staff
  • Maintain an organized, clean, and functional office workspace
  • Perform other administrative duties as assigned by the Warehouse Manager

Qualifications:

  • High school diploma or equivalent (GED)
  • Minimum 12 years of administrative, office support, or warehouse/operations clerk experience
  • Proficiency in Microsoft Office Suite, particularly Excel (data entry, basic formulas, spreadsheet maintenance), Outlook, and Word
  • Demonstrated ability to learn and navigate internal software systems; prior experience with inventory, asset management, or accounting platforms preferred
  • Strong attention to detail and commitment to accuracy in data entry and record keeping
  • Reliable, punctual, and self-directed; able to complete routine tasks with minimal supervision

Travel: This position is primarily office-based at the warehouse facility. Occasional travel to jobsites or other company office locations may be required.


Working Conditions:

This is primarily a desk-based role within a warehouse facility. The employee should expect moderate noise levels, dust, and varying temperatures typical of a warehouse office setting. May be exposed to fumes, airborne particles, moving mechanical parts, vibrations, loud noises, and more within OSHA standards when visiting the jobsite. Employees may be exposed to outdoor conditions that include inclement weather such as heat, humidity, cold, wind, and dust. Physical requirements include the ability to sit for extended periods within the designated office location, operate a computer for the majority of the workday, navigate stairs, climb, walk on varying surface conditions, reach, grip, and lift up to 25 pounds occasionally.
