Position Summary

The Personnel Support Specialist provides administrative, personnel, and operational support to site leadership and team members. This position is responsible for assisting with employee onboarding, personnel records management, workforce communications, training coordination, scheduling support, employee engagement activities, and various human resources and administrative functions. The ideal candidate is highly organized, detail-oriented, maintains confidentiality, and demonstrates strong customer service skills when supporting employees and leaders.

Key ResponsibilitiesEmployee Support & Administration
  • Serve as a primary point of contact for employee questions regarding policies, procedures, benefits, training, and site resources.

  • Maintain accurate personnel records, files, and documentation in compliance with company policies and applicable regulations.

  • Assist employees with onboarding, orientation, badge access, and new hire paperwork.

  • Support offboarding activities, including exit documentation and asset recovery coordination.

  • Coordinate employee communications and announcements.

Recruitment & Onboarding Support
  • Assist with interview scheduling and candidate communications.

  • Prepare onboarding materials and coordinate new hire orientation activities.

  • Track pre-employment requirements, training completion, and onboarding milestones.

  • Maintain hiring trackers and workforce staffing records.

Training & Development
  • Coordinate training schedules and maintain training records.

  • Monitor compliance training requirements and communicate upcoming due dates.

  • Assist leaders with employee development tracking and certification documentation.

Workforce Planning & Reporting
  • Maintain employee rosters, organizational charts, and staffing reports.

  • Prepare weekly and monthly personnel metrics and reports.

  • Support workforce planning initiatives and staffing analysis.

Employee Engagement
  • Assist with employee recognition programs, engagement activities, wellness initiatives, and site events.

  • Support employee surveys and follow-up action planning.

  • Foster positive employee relations and workplace culture initiatives.

Administrative Support
  • Schedule meetings, prepare presentations, and manage departmental communications.

  • Maintain office supplies and administrative resources.

  • Support special projects and continuous improvement initiatives as assigned.

  • Perform other duties as required.

QualificationsRequired
  • Associate degree in Business Administration, Human Resources, or related field, or equivalent work experience.

  • 2+ years of administrative, personnel, HR, or office support experience.

  • Proficiency with Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).

  • Strong organizational, communication, and customer service skills.

  • Ability to handle confidential information with professionalism and discretion.

  • Strong attention to detail and ability to manage multiple priorities.

Preferred
  • Experience supporting manufacturing, operations, logistics, or warehouse environments.

  • Knowledge of HRIS, payroll, timekeeping, or learning management systems.

  • Experience with employee onboarding and personnel record management.

Reporting Relationship

Reports directly to the Personnel and Finance Manager, Operations Manager, or other designated site leader.

Working Conditions
  • Primarily office-based environment with occasional interaction on the production floor or warehouse areas.

  • May require extended periods of computer work and occasional lifting of office materials up to 20 pounds.
