Job Description

The Office Experience Coordinator provides administrative, event, and office support to help create a positive and well-organized workplace experience for employees, visitors, and business partners. This role assists with the coordination of internal events, meetings, office operations, and employee engagement activities while helping ensure the day-to-day needs of the office are met.


Working closely with teams across the organization, the Office Experience Coordinator helps coordinate logistics, schedules, vendor relationships, meeting support, and workplace activities that contribute to a welcoming and productive environment. This position requires strong organizational skills, attention to detail, a customer-service mindset, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate enjoys supporting others, working behind the scenes to keep things running smoothly, and contributing to memorable experiences for employees and guests alike!


Responsibilities

Event & Meeting Coordination

  • Assist with the planning and coordination of internal meetings, training sessions, employee engagement activities, celebrations, and company events
  • Coordinate event logistics including room reservations, catering, supplies, signage, and meeting materials
  • Help prepare event timelines, checklists, and logistics details to support successful execution
  • Provide onsite support before, during, and after events, including setup and breakdown activities
  • Assist with resolving event-day needs and last-minute changes as they arise
  • Support post-event activities, including expense tracking and feedback collection when needed

Office Experience & Operations Support

  • Coordinate food and beverage orders for meetings, trainings, and office events
  • Assist with office readiness by helping maintain meeting spaces, office supplies, and event materials
  • Support relationships with local vendors and service providers
  • Help coordinate seating arrangements, room setups, and other workplace logistics
  • Contribute to maintaining a welcoming, organized, and professional office environment

Administrative Coordination

  • Assist with scheduling meetings and coordinating calendars, meeting spaces, and event schedules
  • Answer and direct incoming calls through the main office phone line
  • Provide administrative support to teams across the organization as needed
  • Organize and maintain shared resources, office materials, and event supplies
  • Support special projects and additional administrative requests as assigned

Sales & Event Logistics Support

  • Assist with coordinating tradeshow and event logistics, including shipments, materials, and booth equipment
  • Maintain swag inventory and assist with ordering and tracking promotional items for both Troy and Lombard offices
  • Help organize returned event materials and maintain inventory storage areas
  • Support customer gifting initiatives, holiday gift distributions, and customer event packages
  • Coordinate shipping and mailing requests for customers, employees, Pathfinders, and other business needs
  • Provide basic support for in-office photography needs during events and activities

Human Resources & Organizational Development Support

  • Provide administrative support for Human Resources and Organizational Development initiatives
  • Assist with coordinating logistics for onboarding sessions, training programs, and development activities
  • Prepare materials, meeting spaces, and resources for workshops and internal programs
  • Coordinate scheduling, catering, and room setup for People Team meetings and events
  • Handle sensitive and confidential information with professionalism and discretion

Workplace Presence & Travel

  • Maintain an onsite presence to support office operations, meetings, and events
  • Attend company events when onsite support is needed
  • Travel occasionally to support company events and business activities (approximately 4–5 times annually)
  • Follow the team's hybrid work expectations, including regular in-office attendance


Requirements

  • 1-3 years of experience in event coordination, office administration, hospitality, customer service, or a related field
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams)
