The Spirit of the Position:
The Office Manager oversees the management of administrative functions for LAZ Port of Galveston Shuttle Operations. As a company devoted to promoting an employee-focused servant leadership culture, the Office Manager will support the programs and initiatives and help to support the individual and administrative needs of the operation.
RESPONSIBILITIES:
  • Manage daily office operations, including phones, emails, supplies, filing, and vendor coordination.
  • Maintain organized records for DOT and non-DOT drivers, including Driver Qualification Files, medical cards, licenses, and compliance renewals.
  • Assist with driver onboarding, paperwork, training coordination, and communication of schedule or route updates.
  • Support scheduling, attendance tracking, and payroll accuracy for all shuttle drivers.
  • Prepare reports, logs, incident documentation, and operational data for leadership.
  • Coordinate meetings, travel, and administrative support for operations managers and visiting teams.
  • Assist with customer, port partner, and internal inquiries, escalating issues as needed.
  • Support safety and maintenance coordination, including vehicle service tracking and documentation.
  • Help during peak cruise operations by supporting dispatch, communication, and check-in processes.
  • Identify and solve administrative or operational issues proactively.
  • Other related duties and projects as assigned.

  • EDUCATION:
    • High School Diploma or equivalent
    • Associates Degree preferred but not required

    SKILLS:
    • Advanced knowledge of Microsoft Office 365 including Excel and Word, strong Internet skills using external websites.
    • Proven ability to manage multiple tasks through to completion in a fast-paced environment.
    • Ability to work well with team members as well as independently.
    • Strong organizational skills.
    • Ability to communicate with all levels of the organization.
    • Demonstrated ability to prioritize and manage time in order to meet set deadlines.
    • Proven problem-solving abilities.
    • Attention-to-detail and high-level of accuracy required.
    • Commitment to confidentiality required.

    EXPERIENCE:
    • 4+ years administrative experience.
    • High School Diploma or equivalent required; Associates Degree preferred

    Physical Demands:
    • Ability to lift, push and pull at least 25 pounds.
    • Ability to sit or stand for extended periods of time
    • Ability to use a computer for extended periods of time
