Job description

Position Summary

We are seeking a detail-oriented and organized Recorder / Title Policy Specialist to join our team. This position plays a key role in the title closing process by ensuring documents are accurate, recorded with county offices, and finalized through the issuance of title insurance policies. The ideal candidate is highly organized, able to manage multiple deadlines, and committed to accuracy and excellent customer service.

Key Responsibilities
  • Review deeds, mortgages, and other real estate documents for completeness, accuracy, and recordability.
  • Submit documents electronically or by mail to county Recorder of Deeds offices for recording.
  • Verify recording fees/transfer tax and ensure the correct amounts have been collected prior to submission.
  • Process recording payments and maintain accurate payment records.
  • Monitor the recording process and promptly address any document rejections from county offices.
  • Correct rejected documents by coordinating with internal staff, lenders, attorneys, or other parties as needed.
  • Download and organize recorded documents into the appropriate electronic file.
  • Prepare and issue owner and lender title insurance policies accurately and in a timely manner.
  • Deliver completed title policies and recorded documents to customers and other authorized parties.
  • Maintain accurate records and ensure compliance with company procedures, underwriting guidelines, and county recording requirements.
  • Assist with other post-closing and title-related duties as assigned.
Required Qualifications
  • High school diploma or equivalent; associate's degree or related education is a plus.
  • Previous experience in title, escrow, real estate, mortgage, or a related industry preferred.
  • Working knowledge of deeds, mortgages, title insurance, and county recording procedures is preferred.
  • Experience preparing title insurance policies is a plus.

  • Exceptional attention to detail with the ability to identify and correct document errors.
  • Strong understanding of real estate documentation.
  • Excellent organizational and time management skills with the ability to prioritize multiple files and deadlines.
  • Strong analytical and problem-solving abilities.
  • Ability to interpret recording requirements and title commitments accurately.
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and the ability to learn title production software.
  • Strong written and verbal communication skills.
