Job description

The delivery scheduler serves as the single point of contact for customers, sales representatives, and project managers in coordinating efficient, prompt delivery of Pella product to customers' homes and jobsites, serving as the primary point of contact for all sub-contractors, delivering the highest level of customer service and satisfaction

Responsibilities

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

Responsibilities and essential job functions include but are not limited to the following:

  • Send daily scheduling report to sales teams.
  • Review delivery schedules and estimate man-hour & man-power requirements for successful and safe completion of job assignments.
  • Review delivery schedule for route optimization and load balancing of 5-7 trucks each day.
  • Ensure Drivers/Installers have necessary permits & paperwork per job site requirements.
  • Serve as liaison between Pella and customers in scheduling value added services:
    • Contact clients 2-3 days prior to scheduled deliveries
    • Call clients day prior to confirm ETA's & collect any payment due.
  • Ensure high level of customer service through responsiveness and follow through.
  • Process owner for scheduling all deliveries, including Retail, Trade and Commercial installations, maintaining constant contact with management, sales and warehouse teams.
  • Negotiate product delivery with Trade customers.
  • Notify installers of deliveries with times and/or pickups at warehouse for next business day.
  • Develop efficient driver schedules to maximize profits, establishing and/or adjusting work procedures to meet production schedules, maintaining constant communication with delivery drivers.
  • Establish priorities and direct loading workforce to satisfy customer demand, closing out trucks by 3pm each day, and notifying warehouse staff of any delivery changes or
  • Completion of daily paperwork:
    • Upload scanned documents from prior day.
    • Upload necessary paperwork to driver tablets.
    • Provide daily reports to logistics leadership.
  • Serve as backup to Delivery Manager as needed.
  • Additional duties as assigned.

Education & Experience

  • High School Graduate or GED.
  • 3+ years customer service and/or administrative support required.
  • Previous experience in scheduling, logistics, planning, and construction strongly preferred.
  • DOT regulation knowledge
  • Excellent verbal and written communication skills, the ability to effectively communicate with customers that may be confrontational, diplomacy in working with both internal and external constituencies, building strong customer relationships.
  • Capable of effectively presenting information and responding to questions from groups of managers, clients, customers, and the general public.
  • Ability to work with various departments and build relationships.
  • Time management and prioritization to ensure excellent execution.
  • Solid organizational skills, especially ability to meet deadlines with a focus on customer satisfaction.
  • Proven ability to work in a deadline-driven environment and handle multiple projects simultaneously.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Ability to problem solve and think outside of the box.
  • Ability to navigate in a Microsoft Windows environment, including finding files in a directory structure and opening/saving/closing files.
  • Ability to open multiple programs and quickly navigate between different tasks using the task bar.
  • Ability to navigate effectively and use scheduling software (Order Management System).
  • Skills in database management and record keeping.

Work Schedule

The work schedule for this position will primarily be 8:00 a.m. to 5:00 p.m., Monday - Friday. Some overtime, evenings, and weekend duties may be included. Schedule may change at the discretion of the management
