Job Description:

The Project Coordinator will play a critical role in supporting the global IT PMO organization by enabling consistent project delivery practices, strengthening governance standards, administering enterprise project management platforms, and providing portfolio-level reporting and operational insights. This role will partner closely with Project Managers, Technical Leads, and cross-functional business teams to improve execution efficiency, optimize resource planning, and enhance organizational visibility across strategic initiatives.

The ideal candidate is highly organized, analytical, process-oriented, and experienced in PMO operations, reporting, and project portfolio management (PPM) tools administration.

Roles & Responsibilities:

PMO Governance & Process Management:

  • Support the development, standardization, documentation, and continuous improvement of project management methodologies, governance frameworks, processes, templates, and SOPs across the Delivery organization.
  • Ensure compliance with PMO standards, governance controls, and project lifecycle requirements across implementation and support initiatives.
  • Assist in enforcing project management policies, stage-gate reviews, documentation standards, and audit readiness activities.
  • Collaborate with Project Managers and stakeholders to ensure projects adhere to established delivery frameworks and reporting requirements.
  • Support ongoing PMO maturity initiatives and process optimization programs.

Project Portfolio Management (PPM) Tool Administration:

  • Serve as the primary administrator and operational owner for enterprise project management platforms including ServiceNow SPM and Monday.com.
  • Configure and maintain workflows, project boards, dashboards, forms, templates, permissions, and reporting structures to support delivery operations.
  • Ensure data integrity, governance compliance, and system hygiene across project and portfolio records.
  • Provide user onboarding, training, documentation, and operational support for PMO tools and workflows.
  • Partner with technical and business stakeholders to drive continuous improvement and adoption of project management systems.
  • Support enhancements, integrations, and automation initiatives related to PMO platforms.

Resource Allocation & Capacity Planning:

  • Support resource planning and allocation activities across implementation and operational support teams.
  • Monitor team utilization, resource availability, and workload balancing to support delivery priorities and organizational objectives.
  • Coordinate with managers and project teams to identify scheduling conflicts, capacity constraints, and resource risks.
  • Maintain resource forecasts and capacity planning reports to improve visibility into departmental demand and delivery capability.
  • Assist Project Managers in tracking project schedules, budgets, milestones, dependencies, risks, issues, and action items.
  • Support estimate-to-complete (ETC) tracking and project forecasting activities utilizing approved PMO tools and processes.

Portfolio Reporting & Analytics:

  • Develop and maintain executive dashboards, KPI reporting, portfolio health metrics, and project status summaries for leadership review.
  • Deliver timely and accurate portfolio-level reporting to support operational governance and strategic decision-making.
  • Prepare presentations, summaries, and analytical insights for PMO governance meetings, steering committees, and leadership reviews.
  • Analyze project and operational data to identify trends, bottlenecks, delivery risks, and opportunities for process improvement.
  • Support financial tracking, portfolio prioritization, and delivery performance measurement activities.

Process Optimization & Continuous Improvement:

  • Identify opportunities to streamline workflows, improve operational efficiency, reduce delivery risks, and eliminate process gaps.
  • Support automation and standardization initiatives across project delivery and reporting functions.
  • Drive adoption of best practices in project tracking, reporting, governance, and collaboration.
  • Recommend improvements to PMO processes, reporting structures, and delivery methodologies based on operational insights and stakeholder feedback.

Cross-Functional Collaboration

  • Partner with cross-functional business and technology teams to improve alignment, communication, and delivery coordination.
  • Act as a liaison between the PMO, delivery teams, and operational stakeholders to support organizational priorities and tool adoption.
  • Support internal communications related to PMO standards, reporting expectations, governance updates, and operational initiatives.

Qualifications:

  • Bachelor’s degree in Business Administration, Information Technology, Project Management, or related discipline.
  • 3–5 years of experience in a PMO Analyst, Project Coordinator, Project Analyst, or similar PMO support role.
  • Experience administering or supporting PPM platforms such as ServiceNow SPM, Monday.com, Jira, Smartsheet, or similar tools.
  • Strong understanding of project management methodologies including Agile, Waterfall, and hybrid delivery models.
  • Experience supporting portfolio reporting, resource planning, and governance activities within enterprise environments.
  • Advanced proficiency in Microsoft Excel, PowerPoint, and reporting/dashboard tools.
  • Strong analytical, organizational, and problem-solving skills.
  • Excellent communication and stakeholder management capabilities.
  • PMP, CAPM, PMI-PMOCP, Agile, or related certifications are considered an asset.
  • Strong technology aptitude with the ability to quickly learn and adapt to new systems, tools, and enterprise platforms.
  • Knowledge of automation technologies and process optimization concepts, including workflow automation, reporting automation, and operational efficiency initiatives.
  • Exposure to automation platforms such as Power Automate, ServiceNow workflows, UiPath, Zapier, or similar process automation tools is considered an asset.
  • Tech-savvy professional with strong system troubleshooting capabilities and the ability to support digital transformation and continuous improvement initiatives.
  • Experience leveraging AI-enabled productivity tools, dashboards, and reporting solutions to improve PMO operations and delivery efficiency is highly desirable.
  • Ability to identify opportunities for automation and process simplification across project governance, reporting, and resource management functions.
  • Knowledge with Business Intelligence/Data Analytics, Datawarehouse, and Database systems is an asset.

The base salary range for this position is $80,000 - $100,000 annually. In determining the rate of pay, Amphenol considers a variety of nondiscriminatory factors, including but not limited to geographic location, relevant industry experience, qualifications, skills, and education. It would be rare for an individual to be hired at or near the top of the range for a given role.
