The Planning Assistant will be an integral part of our planning department, assist in the coordination and scheduling of planning activities, maintaining accurate records, and liaising with other departments to ensure the smooth operations of our processes. What you'll do:
 

  • Expedite the flow of materials between Purchasing, Production Labs, and Manufacturing in alignment with production priorities.
  • Monitor, track, and report material status updates to Planners and Program Managers; escalate issues related to late or urgent materials.
  • Monitor open work orders and coordinate with production teams to ensure timely completion and material availability.
  • Maintain accurate material status updates in the Dynamics system or other platforms as needed.
  • Support Purchasing Department to follow up with vendors regarding lead times and the delivery status of critical or delayed materials.
  • Ensure materials are properly labeled and documentation is attached per quality or regulatory requirements.
  • Manage inventory levels by initiating Purchase Requisitions or Job Orders in Dynamics to meet MIN/MAX thresholds.
  • Expedite material transfers between all QuinStar internal departments and external customer facilities as needed.
  • Participate in periodic inventory cycle counts and reconcile discrepancies to ensure accuracy in the Dynamics system.
  • Support shipping/receiving functions during peak times or as backup when team members are unavailable.
  • Keep material staging areas organized, clean, and compliant with safety and quality assurance. 
  • Support special projects, providing additional assistance and resources as needed.

Requirements


  • Due to federal contract requirements, U.S. citizens are eligible for this role.
  • High school diploma or equivalent experience.
  • Strong written and verbal communication skills.
  • Excellent time management and ability to complete tasks in a timely manner.
  • Highly organized with strong attention to detail.
  • Demonstrated accuracy and thoroughness in work.
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook).
  • Familiarity with ERP systems.
  • Ability to collaborate effectively with individuals across various departments and skill levels.

This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.

  • Ability to stay in stationary position for extended length of time.
  • Remove or replace up to 20 pounds.
  • Positioning, arranging, or moving items up to certain heights or at ground level.
  • Occasional ascending/descending of Ladders.
