Job description

INNOVA NW | SALES ADMINISTRATOR

Support the team. Drive the pipeline. Grow with us.

ABOUT INNOVA NW

Innova NW is a growing security, fire alarm, and low voltage technology company serving commercial and residential clients across Oregon and Southwest Washington. With offices in McMinnville, Portland, Eugene, and Bend โ€” and a clear roadmap to expand across the Pacific Northwest and beyond โ€” we've built a reputation on doing things right and treating people well.

We move fast, we care about quality, and we're building a team that wants to grow with us.

THE OPPORTUNITY

We're creating a new Sales Administrator role to support our growing sales operation. This person keeps the pipeline moving, the data clean, the clients informed, and the team organized. It's a high-visibility position โ€” you'll work directly with sales leadership and interact with clients regularly. This is an entry-level pay position with real upward mobility. We promote from within and reward people who show up and perform. If you're sharp, reliable, and want to learn how a sales organization runs, this role can evolve into something much bigger.

WHAT YOU'LL DO
  • Distribute and track inbound leads to ensure no opportunity falls through the cracks
  • Reach out to potential new customers and existing clients to generate interest, schedule appointments, and keep relationships warm
  • Support inside sales efforts โ€” following up on quotes, checking in on open proposals, and helping move deals forward
  • Manage and update the CRM โ€” keeping contacts, activities, and pipeline stages current
  • Generate and send weekly sales reports to management and the sales team
  • Assist with proposal and contract preparation โ€” formatting, sending, tracking, and filing executed documents
  • Coordinate between sales and other internal departments to ensure smooth handoffs
  • Schedule site walks, calls, and client meetings for the sales team
  • Support client onboarding โ€” sending welcome communications and coordinating initial steps
  • Maintain organized records of bids, contracts, and client documentation
  • Identify process gaps and help build better workflows โ€” your input will be heard
WHAT WE'RE LOOKING FOR
  • Organized and detail-oriented โ€” you notice what others miss
  • Strong written and verbal communication skills โ€” you can send a clear, professional message without overthinking it
  • Comfortable with technology โ€” CRM systems, spreadsheets, and document tools are easy to pick up
  • Reliable and self-directed โ€” you don't need someone standing over your shoulder
  • Team player with a positive attitude
  • Prior experience in an administrative, sales support, or customer service role is a plus but not required
  • Experience in construction, trades, or the security/fire industry is a bonus
GROWTH & EARNING POTENTIAL

This role is designed to grow. As you learn the business and demonstrate your value, performance-based pay gets added to your base rate. People who excel here develop a strong foundation in how a sales organization operates โ€” creating real paths forward in account management, inside sales, and sales leadership as we expand.

WHY INNOVA NW
  • You won't be a number โ€” your work is visible and your ideas get heard
  • Fast-growing company with aggressive expansion plans โ€” plenty of room to move up as we scale
  • Competitive hourly pay with a clear path to performance-based earnings
  • Generous benefits package
  • Stable, recession-resistant industry โ€” security, fire, and technology aren't going anywhere
  • Hard-working team, relaxed environment โ€” we hold ourselves to a high standard and genuinely enjoy coming to work
