We’re looking for a detail-oriented and customer-focused Project Coordinator – Insulation to support our district heating and cooling business. In this role, you will manage all post-purchase order (PO) activities for assigned insulation projects, ensuring customer requirements are accurately documented, communicated, and executed across internal teams.

As the primary point of contact for assigned insulation orders, you will work closely with Sales, Planning, Production, Logistics, and Finance to drive seamless project execution from order setup through final delivery. This position is ideal for a highly organized professional who thrives in a fast-paced manufacturing environment and enjoys coordinating multiple projects while delivering an exceptional customer experience.

The role is situated in Camrose, Alberta Canada and is not a remote or hybrid position.

Project Coordination & Customer Support

  • Manage all post-PO activities for insulation orders from project setup through final delivery.
  • Review customer specifications, insulation requirements, and project documentation to ensure accuracy and alignment with production capabilities.
  • Serve as the primary point of contact for customers and Sales regarding project status, schedules, and order-related inquiries.
  • Communicate project timelines, production updates, delivery schedules, and any changes or constraints affecting project execution.
  • Support Sales by providing project-specific information, documentation, and customer communications.

Cross-Functional Coordination

  • Partner with Planning & Scheduling to establish accurate project timelines and production sequencing.
  • Collaborate with Production to ensure insulation specifications and customer requirements are clearly understood and executed.
  • Coordinate with Logistics to schedule deliveries, prepare shipping documentation, and support on-time fulfillment.
  • Facilitate communication across departments to resolve issues and maintain efficient project flow.

Documentation & Order Management

  • Maintain accurate project records, including purchase order changes, customer correspondence, approvals, schedules, and specifications.
  • Ensure insulation-related requirements such as lengths, jacketing materials, labeling, and handling instructions are properly communicated and executed.
  • Enter and maintain project information within ERP/MRP systems and other internal platforms.
  • Monitor project progress and proactively identify, communicate, and escalate potential delays or issues.

Billing & Financial Support

  • Provide Finance and Accounting with timely and accurate project information to support invoicing.
  • Verify quantities, shipment details, and documentation align with billing requirements.
  • Investigate and resolve discrepancies involving purchase orders, production data, shipment records, and invoicing information.

Continuous Improvement

  • Identify risks, constraints, and opportunities for process improvement throughout the project lifecycle.
  • Support the development of standardized processes and best practices for insulation order coordination.
  • Participate in initiatives focused on improving customer satisfaction, order accuracy, operational efficiency, and communication.
  • Perform other duties as assigned.

Education

  • Associate or Bachelor's degree preferred, or equivalent industry experience. 

Experience

  • 2–4+ years of experience in project coordination, order management, customer service, or operations within a manufacturing or industrial environment.
  • Experience with insulation products, piping systems, or district heating and cooling projects is a plus.
  • Experience working with ERP/MRP systems and order management processes.
  • Proven ability to manage multiple projects, priorities, and deadlines simultaneously.
