Responsibilities: To provide administrative assistance for the sales and marketing department, as well as the finance manager.

  • Provide support for sales team and managers to include salesmen contracts, customer info, prior deals, current programs, financing questions and the like.
  • Maintain customer profile and contacts for John Deere signature sales processes and Jesco call reporting system and to provide necessary reports for compliance.
  • Maintain customer equipment file and equipment EDA file.
  • Maintain sales records thru Jesco imaging system.
  • Whole goods governmental bids - Type all bids, order bid bonds, maintain bid files, record all bid results via internet, complete contracts when required, order insurance certificates, verify all discounts and pricing, and maintain Dead Bid File and cost out and invoice - Rental, Parts, Service Bids.
  • Thank you letters for after sale customers.
  • Mail surveys to customers after sold machines are delivered.
  • Provide backup to Sales Admin A, including but not limited to submitting deals through ceres, John Deere purchase orders and other paperwork associated with a sale.
  • Maintain market share data reported - monthly.
  • Maintain demo tracking each month and follow up with salesmen to make sure they are complying.
  • Enter transaction pricing into the Deere System.
  • Maintain salesmen's calendars.
  • Add rental, parts, and service bids to governmental bids.

MARKETING

  • Input contact information for advertising, promotional programs and customer retention for sales, parts, service and rentals.
  • Provide support help for advertising to include, budget monitoring, Coop budgets, IDM mailings and list, Barry group (yellow pages), literature, trade shows, used equipment boards, website management, mailings through Advantage Advertising and others.
  • Assist with assignments such as mailers, reporting, metrics involving the signature sales process, transaction pricing, etc.
  • Coordinate travel arrangements for training and shows, reservations for association dinners, management dinners, fly-ins, open houses, Jesco family fun day and other events.
  • Provide assistance with all correspondence related to marketing programs in effect and for future programs to solicit business.
  • Create purchase orders for marketing I advertising invoices.
  • Maintain all press releases.
  • Enter all Hitachi machine information gathered from parts and sales.

OTHER

  • Provide main back-up to receptionist including phone coverage and mail.
  • Assist the President with various assignments including excel spreadsheets and map point.
  • Verizon Wireless & Nextel- Maintain records, order new, replacement parts and accessories, work with employees and Verizon sales rep to manage pricing, service and eligible upgrades.
  • Coordinate Trade Shows from start to finish - including travel arrangements, hotels, advertising, ordering necessary equipment, etc.
  • PERFORM other related duties as assigned.
