Executive & Personal AssistantSupporting the Founder, CEO & Creative Director of BuDhaGirl and the Chairman

Location: Dallas, Texas

Primary Locations: BuDhaGirl headquarters in the Dallas Design District and private residence on Turtle Creek Boulevard

Travel: Willingness to travel is a plus but not mandatory

Compensation: Competitive and commensurate with experience

About the Position

BuDhaGirl is seeking an exceptionally organized, proactive, discreet, and personable Executive & Personal Assistant to support a husband-and-wife leadership team. The wife is Founder, CEO and Creative Director, and the husband serves as Chairman of BuDhaGirl.

This is intentionally a dual executive and personal assistant role, requiring someone who can move comfortably between business responsibilities and personal support. The ideal candidate will have excellent judgment, strong attention to detail, and the ability to anticipate needs and manage priorities with minimal direction.

The position is based in Dallas, with time spent between the BuDhaGirl headquarters in the Dallas Design District and the couple’s residence on Turtle Creek Boulevard. The couple also maintains a second home in Washington State, where they spend a significant portion of each summer. Availability to travel with the principals is not required, but is strongly preferred.

Their children are grown, and there are no childcare responsibilities associated with this position, however they do have a lovely 7.5 pound 4 year-old Maltese named Bangle.

Key ResponsibilitiesCommon to Both Executive and Personal Support

·      Manage and coordinate the principals’ professional and personal calendars, including meetings, appointments, calls, reservations, events, and other commitments.

·      Coordinate business and personal travel, including transportation, accommodations, reservations, itineraries, and changes as needed.

·      Prepare and track expense reports, receipts, invoices, and other financial documentation.

·      Assist with light accounting and financial administration, including payments, reconciliations, and expense tracking.

·      Coordinate meetings and communications with employees, business partners, vendors, clients, family, friends, and other contacts.

·      Conduct research and assist with special projects as needed.

·      Maintain well-organized digital and physical records.

·      Serve as a trusted liaison between the principals and their professional and personal contacts.

Executive Support

·      Provide day-to-day administrative support for the principals’ business activities.

·      Assist with preparation of documents, reports, presentations, and other materials as needed.

·      Support the principals with follow-up and execution of ongoing projects and priorities.

Personal Support

·      Handle personal errands, purchases, returns, deliveries, gifts, and other day-to-day requests.

·      Coordinate household vendors, maintenance, repairs, and services for the Dallas residence and, as needed, the Washington State home.

·      Provide support with wardrobe, personal shopping, gifts, and other lifestyle needs as appropriate.

·      Anticipate and resolve personal and household needs efficiently and discreetly.

Travel

·      Highly preferred to be available to travel with the principals when appropriate, although travel is not an absolute requirement of the position.

·      Provide on-the-ground support during travel, including managing changes to schedules, reservations, transportation, and other arrangements.

The Ideal Candidate

The successful candidate will be a highly capable, trusted professional who takes initiative and enjoys creating order, solving problems, and staying several steps ahead.

Candidates should have:

·      Several years of experience as an Executive Assistant, Personal Assistant, Chief of Staff, or in a comparable role supporting senior executives, entrepreneurs, or private principals, preferably in a design or fashion environment.

·      Exceptional organizational and time-management skills.

·      Excellent written and verbal communication skills.

·      Strong attention to detail and follow-through.

·      Sound judgment and complete discretion with confidential business and personal information.

·      The ability to manage multiple priorities and shifting schedules calmly and efficiently.

·      A polished, professional, warm, and personable demeanor.

·      Strong computer skills, including proficiency with Microsoft Office, calendars, QuickBooks/Quicken, and expense-reporting systems.

·      Comfort with light accounting and financial administration.

·      A proactive, flexible, and service-oriented approach.

·      A valid driver’s license and reliable transportation.

·      Availability to work flexible hours as needed by the principals.

·      Willingness to travel, which is preferred but not mandatory.

What Success Looks Like

The ideal assistant will become a trusted extension of the principals, protecting their time, keeping their professional and personal lives organized, and ensuring that details are handled before they become problems.

This person must be comfortable handling a wide range of responsibilities as described above with thoroughness, attention to details and seeing tasks through to completion.

This is an in-person, hands-on position for someone who takes ownership, exercises excellent judgment, and genuinely enjoys making the lives of the principals more efficient and organized.

Compensation

Competitive compensation commensurate with experience and qualifications. Benefits and travel arrangements will be discussed with qualified candidates.
