Job description

DFW Metro Area (Irving | Plano/Frisco | Southlake)Full-Time, Exempt$65,000–$90,000 + Mileage ReimbursementThree successful business owners. One trusted operator who makes their lives run smoother. That's this role.

We're looking for a calm, sharp, highly organized professional to be the behind-the-scenes engine for three principals. Juggling calendars, households, and fast-moving priorities without ever dropping a ball. It's a dynamic, high-trust role for someone who thrives on variety and genuinely enjoys being the person everyone counts on.

If you're the kind of person who already runs a tight ship in your own life, the friend who plans the trip, remembers the birthday, and has a system for everything, this is your chance to do that at the highest level, for people who will notice and value it.

Why You'll Love This Role
  • Real variety, every day. No two days look the same, and you'll never be bored.
  • Direct, high-trust relationships with three accomplished business owners who rely on your judgment.
  • Meaningful impact — you're not filing paperwork, you're the reason things run smoothly for three busy families and businesses.
  • Competitive pay ($65,000–$90,000) plus mileage reimbursement for travel between locations.
  • Room to bring your own systems and ideas. This role rewards initiative, not just task completion.
What You'll Do

Roughly 60% personal/family support, 40% executive administrative support:

  • Coordinate calendars, appointments, and logistics for three owners and their families: school activities, medical appointments, caregiving coordination for children and elderly family members.
  • Manage household operations across multiple properties — vendors, home maintenance, deliveries, recurring services.
  • Plan personal events, celebrations, and special occasions, and handle personal errands with discretion.
  • Arrange personal and business travel: flights, hotels, transportation, and detailed itineraries and handle last-minute changes with minimal owner involvement.
  • Own complex calendars, balancing business and personal commitments and catching conflicts before they happen.
  • Manage correspondence, expense reports, and administrative workflows for the ownership group.
  • Independently prioritize competing requests from three different owners, knowing when to act, when to ask, and when to escalate.
  • Handle sensitive business, financial, family, and personal information with absolute confidentiality.
Who You Are
  • 3+ years of experience as an Executive Assistant, Personal Assistant, or Family Office Assistant — ideally supporting multiple principals or a household with complex logistics.
  • Discreet by nature. You've handled sensitive information before, and people trust you with it.
  • A natural at reading people — comfortable adapting your style across three distinct personalities, and with family members from young kids to elderly relatives.
  • Organized without being rigid — you build systems, but you also roll with last-minute chaos gracefully.
  • Reliable transportation and a genuine willingness to travel regularly between Irving, Plano/Frisco, and Southlake.
  • Comfortable with occasional evening or weekend needs when something truly can't wait.
  • Background or experience in healthcare coordination (medical scheduling, caregiving support, insurance/appointment navigation, or similar) is a plus, given this role's healthcare-related coordination responsibilities, not required, but a strong fit.
Compensation & Benefits
  • $65,000–$90,000 annually, based on experience.
  • Mileage reimbursement for travel between locations.
Ready to Be the Person They Count On?

If you're excited by the idea of being trusted with real responsibility and you're looking for a role where your judgment, discretion, and initiative are genuinely valued, we'd love to hear from you!
