Executive & Personal Assistant
Location: Greenwood Village, CO — Hybrid (on-site as required)
Employment type: Full‑time
 Overall Functions:The Assistant to Principal will provide high-level personal, administrative, and client-support services to a Principal at Meadows Wealth Group. The role improves the Principal’s efficiency by managing calendar and communications, coordinating routine client tasks, and ensuring consistent follow-through across personal and business responsibilities. This position requires discretion, strong organization, and excellent follow-through.
Key Responsibilities (may include but are not limited to):
Personal & Executive Support
  • Manage and maintain the Principal’s calendar: schedule, reschedule, and follow-up appointments; prevent conflicts and follow up on outstanding items.
  • Manage the Principal’s inbox and telephone correspondence; assess messages, draft or send responses as directed, and/or direct to appropriate team member.
  • Track, follow up and complete personal and professional to-do items to ensure deadlines and commitments are met.
  • Coordinate personal administrative tasks (appointments, errands, travel bookings, expense tracking) with discretion.
  • Prepare meeting materials, print proposals, and assemble client files as directed.

Client Support & Coordination
  • Handle routine client communications: initial outreach, reminders, follow-ups, and status updates.
  • Monitor the Client Activity Report (CAR) and complete required follow-up tasks (late payments, document uploads, missing signatures).
  • Process incoming non-securities client service requests (address/bank changes, loan requests, ISA inquiries) or route to the appropriate team member.
  • Confirm receipt of forms and contact clients for return of completed documents.
  • File statements, account forms, and other insurance/investment related materials; coordinate seminar/event registrations and materials.

Administrative & Compliance
  • Maintain accurate client case notes and client case files.
  • Communicate with home office, Northwestern Mutual Investment Services (NMIS), and fund families to obtain or supply requested information.
  • Execute routine team administrative tasks and support other team members as needed.
  • Adhere to company policies and regulatory/compliance requirements when handling client information.
Qualifications:
  • 2+ years administrative support, personal assistant, or customer service experience (finance/wealth-management experience preferred).
  • Strong organizational, time-management, and multitasking skills with exceptional attention to detail.
  • Professional written and verbal communication skills; comfortable communicating with clients and external partners.
  • High level of discretion and confidentiality when handling personal and business matters.
  • Proficient with Microsoft Office; experience with CRM systems or similar platforms is a plus.
  • Demonstrated reliability, accountability, and ability to work in a fast-paced team environment.

Compensation & Benefits:
  • Salary: $55,000 – $70,000 per year, depending on experience.
