SUMMARY:

Under the direction of the Osaic Sales Manager and Administrative Officer to assist the Investment Officers in the operation and development of the Investment Services program in conformance with established Bank and Osaic objectives, policies and procedures. This individual provides excellent customer service to promote long term customer relationships and communication with all areas of the bank.

ESSENTIAL JOB FUNCTIONS & RESPONSIBILITIES:

  1. Process paperwork and transactions, open new accounts, check paperwork for accuracy, transmit documents and checks.
  2. Set up and maintain client files; retain pertinent statements or other paperwork as needed. Ensure files comply with Osaic and Bank policies and procedures.
  3. Follow and adhere to all regulatory requirements including OFAC, BSA, etc.
  4. Scan checks and ensure accuracy of account credits.
  5. Enter and monitor mutual funds and stocks orders; process annuity purchases.
  6. Check Items For Attention (IFA) daily, being alert to immediate actionable items.
  7. Check ACAT transfer status regularly; provide follow up.
  8. Act as primary liaison between advisor(s) and Osaic back office. Utilize the Advisor Office communication platform. 
  9. Act as liaison between advisor(s) and product providers, troubleshooting when necessary.
  10. Answer phones, fulfill basic customer requests and elevate complex requests to advisors.
  11. Contact referrals to set appointments, based on preference of the advisor(s).
  12. Assist advisor(s) in managing appointment calendars.
  13. Conduct customer follow-up as needed, including confirmation of customer requests.
  14. Maintain inventory of sales literature for advisor(s).
  15. Ensure prospectuses and other literature is current.
  16. Open and distribute department mail.
  17. Maintain client database for tracking and follow-up.
  18. Assist with any mailing to clients and prospects.
  19. Promote the program and its services internally and externally.
  20. Provide cost basis data during Tax Season, as needed.
  21. Work, occasionally, with attorneys and accountants to settle trust accounts, ascertain account values, determine date of death values and re-register stock certificates.
  22. Monitor and process Required Minimum Distributions (RMD’s) before year end for qualifying clients.
  23. Mail Financial Check-up Cards to all Pershing, Direct Mutual Fund, Managed Accounts and Annuity clients.
  24. Prepare performance reports for client reviews.
  25. Maintain and monitor compliance files to meet regulatory exams.
  26. Maintain knowledge on investment and bank products and services.
  27. Participate in special projects and perform additional duties as required.
  28. Complete ongoing continuing education for designated licenses and banking courses.

QUALIFICATIONS:

EDUCATION & CERTIFICATIONS: (Minimum education required to perform the duties of this position)

  • Bachelors Degree or equivalent experience in Financial Services/Investments.
  • Series 7 Securities License and Series 65/66, Insurance and Annuities Licenses preferred (or to be obtained after the hire date).

KNOWLEDGE, SKILLS & ABILITIES:

  • Prior experience in the Financial Services Industry or Banking preferred.
  • Proficiency in using Word, Excel, PowerPoint, Outlook and specific job applications.
  • Proven track record of working with highly confidential client data.
  • Strong interpersonal skills and high ethical standards are a must.
