    Job description

    he Staffing Assistant plays a critical role in the recruitment and placement process by sourcing candidates, conducting interviews, screening applicants, maintaining accurate records, and supporting recruiters throughout the hiring cycle. This position requires strong technical skills, excellent communication abilities, attention to detail, and the ability to thrive in a fast-paced environment.

    The Staffing Assistant will also assist with the timely and accurate submission and maintenance of credentialing information, data entry, background checks, skills testing, file audits, compliance, file maintenance, and record keeping.

    This is a temporary-to-permanent position. The successful candidate will begin as a temporary employee, with the opportunity to transition to a permanent position based on performance, attendance, reliability, and overall fit with the company.

    Important: This is a remote position, and candidates must have their own reliable computer/equipment and internet connection during the temporary period. Once you transition to a permanent employee, company-provided equipment will be provided.

    Key Responsibilities

    • Source and recruit healthcare professionals through job boards, databases, and other recruiting channels
    • Conduct phone screenings and candidate interviews
    • Review resumes and assess candidate qualifications
    • Verify credentials, licenses, certifications, and employment history
    • Manage applicant tracking systems and maintain accurate candidate records
    • Coordinate interviews and onboarding activities
    • Communicate professionally with candidates, clients, and internal staff
    • Assist with job postings and candidate outreach campaigns
    • Maintain compliance with company policies and healthcare staffing requirements
    • Support recruiters and account managers with daily staffing operations
    • Utilize technology platforms and software to track, manage, and report recruiting activities
    • Enter a variety of data using current technology
    • Prepare and sort documents for data entry
    • Create and maintain logs for tracking purposes
    • Review and enter data updates into systems
    • Review discrepancies in data received
    • Advise supervisors of issues related to data or documentation

    Knowledge, Skills & Experience

    • Strong organizational and time-management skills
    • Ability to prioritize and manage multiple deadlines in a high-volume environment
    • Strong technical and computer skills
    • Ability to quickly learn and navigate new software and technology
    • Experience using an ATS or Blue Sky Software is a plus, but not required
    • Strong attention to detail and accuracy
    • Excellent follow-through and problem-solving skills

    Required Qualifications

    • Minimum of 2 years of recent recruiting, staffing, human resources, or administrative experience
    • Experience conducting interviews and candidate screenings
    • Excellent computer and technical skills
    • Proficiency with Microsoft Office Suite, including Excel and Word
    • Proficiency with Google Workspace, including Sheets and Docs
    • Ability to learn and navigate applicant tracking systems and staffing software
    • Exceptional organizational and multitasking abilities
    • Strong verbal and written communication skills
    • High attention to detail and accuracy
    • Ability to work independently and as part of a team
    • Healthcare staffing or healthcare recruiting experience preferred
    • Experience with credentialing or compliance processes preferred
    • Familiarity with applicant tracking systems and CRM platforms preferred
    • Previous administrative support experience preferred
    • Experience with data entry or related functions preferred
    • Strong customer service and time-management skills
    • Deadline- and detail-oriented

    Work Environment & Equipment Requirements

    • This is a remote, fast-paced, deadline-driven position
    • Candidates must have their own reliable computer and equipment during the temporary employment period
    • Candidates must have reliable, high-speed internet access
    • Once hired as a permanent employee, company equipment will be provided
