Job description

The Academic Records Systems Analyst serves as the primary subject-matter expert for the Ellucian Colleague student information system, the Perceptive Content (ImageNow) electronic document management platform, and integrated systems that support enrollment, academic records, degree audit, and transcript services. This role ensures the integrity and accessibility of student academic data across all instructional locations. Through accurate system configuration, rigorous testing, and continuous process improvement, the Analyst safeguards the College's accreditation, regulatory, and reporting obligations while enabling timely, equitable service to a diverse student population, including traditional, adult, and military-affiliated learners.
Primary Responsibilities:
  • Administers and maintains the Ellucian Colleague Academic and Communications Management modules, ensuring system configuration aligns with academic policy, the College catalog, and institutional curricular requirements
  • Configures and updates degree program requirements, course catalog entries, restriction codes, and degree audit functionality.
  • Coordinates the implementation and ongoing administration of integrated platforms, including Perceptive Content (ImageNow), the National Student Clearinghouse electronic transcript exchange, and the GATRACS statewide articulation system.
  • Collaborates with vendors, consultants, and inter-institutional partners
  • Performs other duties as assigned in support of the mission of the Office of the Registrar and the College.

Required Qualifications
  • Bachelor's Degree in Computer Information Systems or a related field
  • Ease of operation with various computer software programs, databases, and electronic filing systems.
  • Highly proficient use of Microsoft Office Suite (Office 365), particularly Microsoft Excel.

Preferred Qualifications
  • Masters degree in Computer Information Systems or a related field
  • Knowledge of institutional Academic Affairs and Registrar's office policies and procedures
  • Experience with institutional record keeping, experience with programs, such as Ellucian (Datatel) Colleague and ImageNow
  • Strong attention to detail and maintaining accuracy
  • Highly organized with strong time management skills
  • Ability to work under pressure and prioritize tasks daily
  • Independent desire to learn and identify optimal solutions.
  • Knowledge of SACSCOC criteria, FERPA, etc.,
