Receptionist (Per Diem)

Reports To: Office Manager

Program: Administration

Location: Rockland, NY Hours Per Week: Per Diem (As-Needed/On-Call)

FLSA Status: Per Diem, Non-exempt Salary Range: $19-$22 per hour

Summary Description

We are seeking a reliable, friendly, and professional Per Diem Front Desk Associate to join our team. As the first point of contact, you will provide exemplary customer service, greet visitors, answer phones, and handle administrative tasks. This position offers flexibility, with shifts varying based on the organization's needs, including coverage for absences, vacations, and peak busy periods.

Responsibilities
  • Visitor Management: Warmly greet visitors upon arrival, ensuring a positive first impression and directing them to the appropriate person or department.
  • Information and Referral: Provide information about Greater Mental Health of NY's services and supports and direct callers/visitors to these services.
  • Telephone Operation: Answer, screen, and forward incoming calls promptly using a multi-line system, taking accurate messages as needed.
  • Administrative Support: Assist with filing, data entry, photocopying, and sorting mail.
  • Scheduling: Schedule, cancel, and confirm appointments.
  • Security & Safety: Monitor the lobby/front door, control access, and follow safety procedures.
  • Lobby Maintenance: Ensure the reception area and lobby are tidy, presentable, and well-organized.
  • Special Projects.
  • Other duties as assigned.
Competencies
  • Front Desk Coordinator / Receptionist (Per Diem) is required to establish and maintain a collaborative working relationship with employees, consumers, and vendors.
  • Functions in a customer service capacity with respect to interactions and job duties.
  • Proficiency in Microsoft Office suite and database management systems required.
  • Proficiency with Electronic Health Records preferred
  • Demonstrated ability to act with integrity, professionalism, and confidentiality.
  • Excellent verbal and written communication skills.
  • Enthusiasm for contributing to a collaborative and positive workplace culture.
  • Self-motivated, results-oriented approach to work.
  • Exceptional organizational skills and attention to detail.
  • Strong analytical and problem-solving abilities.
Key Performance Indicators (KPIs)
  • Timely and accurate completion of Administrative tasks.
  • Time to respond to inquiries, requests, and client calls/requests, etc.
Requirements
  • High School Diploma or equivalent required.
  • Previous experience in a receptionist, front desk, or customer-facing role strongly preferred.
  • Ability to work in a fast-paced environment and handle multiple tasks simultaneously.
  • Dependable, with flexibility to work mornings, days, and evenings, as needed.
  • Strong computer knowledge: typing, communication tools, scheduling tools, and web browsers.
  • Proficiency in Microsoft Office suite and database management systems.
  • Proficiency in English includes skills in reading, writing, and speaking.
  • Must be cleared and maintain clearance by applicable regulatory clearances as required.
  • Legally eligible to work in the United States without sponsorship.
Special Considerations
  • This is a per diem position.
  • The position is located at a computer station in shared office space. The noise level in the work environment is usually moderate.
  • The employee must occasionally lift and/or move up to 25 pounds.
  • Position may require extended periods of sitting and computer-based work.
  • Work hours, reporting structure, and on-site location are subject to change based on program needs.
Mandated Reporter

This is a Mandated Reporter position. The NYS Justice Center legislation defines anyone who has regular and substantial contact with any person with special needs as a "custodian" under the law and, therefore, a mandated reporter. You can be held liable by both the civil and criminal legal systems for intentionally failing to make a report.
