What is a per diem coordinator?

A Per Diem Coordinator is a professional responsible for managing the scheduling and administrative needs of per diem, or as-needed, staff within an organization—often in healthcare, education, or staffing agencies. This role involves coordinating shifts, ensuring compliance with staffing requirements, maintaining records, and serving as a point of contact between per diem employees and management. Per Diem Coordinators help ensure that staffing levels are adequate and that temporary or on-call employees are efficiently integrated into the workforce.

What are the key skills and qualifications needed to thrive as a per diem coordinator?

To thrive as a Per Diem Coordinator, you need strong organizational skills, attention to detail, and experience in scheduling or staffing, often supported by a background in healthcare administration or human resources. Familiarity with scheduling software, HR management systems, and sometimes credentialing platforms is typically required. Excellent communication, problem-solving abilities, and adaptability are crucial soft skills for managing dynamic staffing needs and resolving conflicts. These skills and qualities ensure efficient workforce allocation, compliance with staffing policies, and smooth operations within healthcare or staffing organizations.

What are some common challenges per diem coordinators face in managing fluctuating staffing needs?

Per Diem Coordinators often navigate the challenge of matching last-minute staffing demands with available per diem personnel, especially during peak times or unexpected absences. This requires strong organizational skills, adaptability, and the ability to communicate quickly and clearly with both staff and management. Coordinators also maintain compliance with scheduling policies and ensure all shifts are covered without exceeding budget constraints. Building and maintaining positive relationships with per diem staff helps to increase shift acceptance rates and reduce scheduling gaps.
