We are looking for a dependable, upbeat, and customer-focused Service Appointment Coordinator to support our service department through proactive customer outreach, appointment scheduling, and retention efforts. What You'll Do
As a Service Appointment Coordinator, you will play an important role in helping customers stay connected to our service department. This position focuses heavily on outbound follow-up, appointment setting, and customer retention, while also assisting with inbound scheduling and customer inquiries as needed.
You will help create a smooth, professional, and welcoming customer experience by reaching out to customers regarding maintenance, repairs, recalls, and recommended services, while ensuring they are connected to the right dealership resources.
Responsibilities
  • Make outbound calls to customers to schedule service appointments and support retention efforts
  • Follow up with customers regarding maintenance, repairs, recalls, declined recommendations, and other service needs
  • Re-engage customers who have not yet scheduled or completed recommended service work
  • Answer inbound customer calls professionally and efficiently as needed
  • Schedule service appointments accurately for maintenance, repairs, recalls, and other recommended services
  • Respond promptly to customer inquiries by phone, email, and web inquiry channels
  • Provide basic service information and direct customers to the appropriate department when needed
  • Accurately document customer communication in CRM and dealership systems
  • Work closely with teammates, service staff, and management to support a seamless customer experience
  • Participate in team meetings, coaching, and process improvement efforts
