Business Operations HR Coordinator

Koniag IT Systems, LLC, a Koniag Government Services company, is seeking a Business Operations HR Coordinator with a Secret security clearance to support KPS and our government customer at the Pentagon, Arlington, VA. This position will include coordinating and working with internal and external organizations, in supporting the goals and objectives of the Office of the Secretary of War, Research and Engineering, Chief Digital and Artificial Intelligence Office (CDAO). The candidate must understand how to operate in a deliberate manner in support of the Office of the Secretary of War (OSW). Essential Functions, Responsibilities & Duties may include, but are not limited to:

  • Provide Executive Level Administrative Management/ Administrative Assistant Support/Human Resources Onboarding Support and Office Management Support.
  • Manages visitor access and security requirements and coordinates with the appropriate agency as required (e.g. Pentagon Force Protection Agency, OCDAO Security Office, and external Security Offices as needed).
  • Coordinates/communicates on behalf of the organization's leadership, including calls, responding to email, and interfacing, with stakeholders or their staffs.
  • Assist in preparing leaders for participation in hiring/onboarding. Assist supported senior management in the development of presentations and white papers for internal and external audiences ensures proper formatting and grammatical correctness.
  • Establish and maintain office files and databases, including electronic data files architecture consistent with Federal and DOD records management standard file storage/structure methodologies.
  • Serve as a liaison between senior management, CDAO staff, and external agencies for all administrative support.
  • Receive and screen phone calls and visitors, answering a variety of questions with tact and diplomacy, taking messages, and directing calls appropriately for resolution.
  • Maintain confidential and sensitive and classified information.
  • Assist with coordination of directorate staff in-processing and out-processing: Building access request, parking request, hoteling workspace request, supplies, etc.
  • Track and assist the coordination of tasks and information across the CDAO organizational divisions to ensure each division remains informed and aligned to the overall strategic vision and schedule.
  • Work jointly with other groups and offices and maintain accountability of all assigned tasks.
  • Ensure tasks meet suspense timelines and are complete.
  • Track and coordinate hiring/HR actions to ensure any requested meetings and artifacts are completed in a timely manner.
  • Perform technical writing/editing, proofreading, or overall documentation review for various program document, and user support documents.
  • Supports the onboarding of civilian and contractor support for CDAO.
  • Tracks hiring/onboarding process development, and review and approval.
  • Supports the in-processing program for government civilian, Military members, and contractor staff.
  • Provides general administrative support to the Human Resources Division.
  • Develops and updates rosters and monitors the Division's workflow email account.
  • Maintain content in key platforms (e.g., Microsoft)

Required Qualifications:

  • 2+ years related experience.
  • Experience as an Executive Assistant/Human Resources analyst/coordinator for an OSD level organization.
  • Ability to uphold a strict level of discretion and confidentiality
  • Gather and develop requirements for assigned projects based on stakeholder input.
  • Demonstrates excellent communication skills, a high level of integrity, critical thinking, and leadership courage.
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities.
  • Powerful analytical and problem-solving skills - including the ability to develop solutions in new and creative ways.
  • Ability to work independently on projects, from conception to completion
  • Exceptional written and verbal communication skills.
  • Strong ability to brief senior executives with little notice.
  • Comfortable in a fast paced/dynamic environment.

Clearance Requirement:

  • Must be a US Citizen, hold a current DoW Secret Clearance.

Education:

  • Bachelor's Degree
