Job description

Position Summary
Melissa, a global provider of data quality, identity verification, and address intelligence solutions, is seeking a Legal and Compliance Operations Specialist to support its Legal and Compliance department. Reporting directly to the General Counsel and Chief Compliance Officer, this position is responsible for contract administration, contract record accuracy, compliance program support, and regulatory filings. This is an in-house corporate operations role; it does not involve litigation support in court, court filings, or trial procedure, and prior litigation experience is not required.

Key Responsibilities:
Contract Administration:
  • Process reviewed and redlined agreements through execution: finalize documents, clean up tracked changes and comments, convert to final form, apply company e-signature, and route for countersignature.
  • Triage incoming contract requests and coordinate with sales representatives and external parties throughout the document cycle.
  • Track outstanding documents through full execution and follow up as needed.
Contract Records and Tracking:
  • Maintain the contract tracking system and serve as the independent check on record accuracy, including capture of countersigned copies, correct file-to-account matching, and accurate document type logging.
  • Verify executed agreements against current templates and terms; flag superseded formats prior to renewal.
  • Maintain version control and an audit-ready contract repository, including the e-signature request workflow.
  • Operate the document negotiation and tracking workspace following implementation.
Compliance Program Support:
  • Complete and return vendor security questionnaires and third-party risk assessments, coordinating input from legal, IT, and security.
  • Support the annual SOC 2 audit cycle, including evidence collection and coordination of auditor requests.
  • Track certificates of insurance and maintain current coverage documentation.
  • Maintain the standard compliance documentation package and respond to routine client requests.
  • Support HIPAA and information security compliance documentation.
Registrations, Filings, and Corporate Records:
  • Maintain the filing and renewal calendar for multi-state data broker registrations.
  • Maintain corporate records, state business registrations, annual filings, and subsidiary documentation.
  • Track intellectual property renewal dates in coordination with outside counsel.
Legal Department Support:
  • Gather, organize, and transmit documents and factual materials to outside counsel as directed.
  • Track deadlines and matter status across active matters.
  • Support process improvements to department intake, tracking, and reporting.

Required Qualifications:
  • Three or more years of experience supporting a legal, compliance, or contracts function, preferably in-house at a software, technology, or data services company.
  • Proficiency with tracked changes, redline cleanup, PDF conversion, and e-signature platforms.
  • Strong working knowledge of commercial agreements, including software licensing, vendor agreements, and data privacy terms.
  • Demonstrated accuracy in records management and document tracking.
  • Proficiency with Google Workspace, Microsoft Office, AirTable or comparable tracking tools, and document management systems.
  • Ability to work on-site in Rancho Santa Margarita, CA.
Preferred Qualifications:
  • Experience completing security questionnaires or supporting a SOC 2 or comparable audit.
  • Familiarity with CCPA/CPRA, state data broker registration requirements, or GDPR.
  • Paralegal certificate or equivalent legal education.
  • Exposure to trademark portfolio administration or immigration filings.

Job Type:
This position offers a full-time hybrid schedule from Monday to Friday. During the initial 90 days, your commitment will be full-time in the office, making this opportunity ideal for local applicants within commuting distance.
Pay Range:
$40.00 to $50.00 per hour, depending on experience (approximately $83,200 to $104,000 annualized).
