HOURLY RATE (DEPENDING ON SKILLS/EXPERIENCE): $23.00 - $26.00

Position Summary: The Patient Service Coordinator serves as the first point of contact for patients in our OB/GYN clinic, providing exceptional customer service both in person and over the phone. This role is responsible for managing front office operations, coordinating patient appointments, and ensuring smooth communication between patients, providers, and clinical staff. A strong emphasis is placed on handling high-volume phone calls with professionalism, efficiency, and compassion.


Responsibilities

Key Responsibilities:

Patient Interaction & Front Desk Duties

  • Greet and check in/check out patients in a friendly, professional manner
  • Verify patient demographics, insurance, and required documentation
  • Collect co-pays, balances, and process payments accurately
  • Ensure patient confidentiality in compliance with HIPAA regulations

Phone & Communication Management

  • Answer and manage high-volume inbound calls promptly and professionally
  • Schedule, reschedule, and confirm patient appointments
  • Triage calls to appropriate clinical staff or providers
  • Respond to patient inquiries regarding services, forms, and appointments
  • Retrieve and respond to voicemail messages in a timely manner
  • Provide clear instructions and information to patients regarding visit preparation

Scheduling & Coordination

  • Maintain accurate provider schedules, including OB and GYN appointments
  • Coordinate urgent appointments and accommodate same-day needs when appropriate
  • Verify insurance eligibility and obtain necessary referrals/authorizations

Administrative Support

  • Scan and upload documents into the electronic medical record (EMR) system
  • Maintain organized and accurate patient records
  • Assist with referrals, medical records requests, and paperwork
  • Support clinic workflow to ensure efficient patient throughput

Qualifications

  • High school diploma or equivalent
  • Minimum 1–2 years of experience in a medical office or customer service role
  • Strong phone etiquette and experience handling multi-line phone systems
  • Excellent interpersonal and communication skills
