Job Title: Membership Clerk
Salary: $15 per hour
Hours: up to 25 hours per week; non-exempt employee
Reports to: Club Director/School Based Club Director
Location: 3104 Avenue J, Fort Pierce FL
JOB PURPOSE
The Boys & Girls Clubs of St. Lucie County takes changing the lives of youth to heart. We go above and beyond to ensure that every youth that walks through our doors has a world class club experience that provides them with the opportunity for a GREAT FUTURE!
The primary functions of the Membership Clerk are to provide regular clerical and administrative support to the Club Director/School Based Club Director or other Club staff, as necessary. He/she is responsible for the receipt, statistical reports and data entry of the membership applications, as well as prepare correspondence and reports, answer telephones, and maintain electronic and hard copy files.
DUTIES & RESPONSIBILITIES
The duties and responsibilities are, but not limited to:
• Greet all members and visitors in a professional and courteous manner
• Check for accuracy and completion of membership applications
• Enter membership applications into the Vision database program daily
• Prepare and issue all membership ID numbers in a timely manner
• Monitor visitor attendance
• Maintain accurate daily records of membership and attendance information
• Produce periodic statistical reports on membership applications, attendance, dues, fees, etc.
• Responsible for the collection of fees and completion of deposit slip
• Answer phones promptly and professionally, provide information, take a message, or forward to other staff as needed
• Maintain electronic and hard copy filing systems while making sure they are accurate, timely, and easily retrieved as needed
• Check answering machine daily and respond to or forward any messages as necessary
• Contact any members that are not in regular attendance
• Inform members, visitors, and parents of all the program options the Club has to offer
• Maintain thorough knowledge of all activities within the building and answer questions that may be directed with reference to the Club's policies and procedures
• Stamp, sort and distribute all incoming mail; handle any outgoing mail
• Make photocopies of documents as required
• Communicate to supervisor any pertinent contact from family, school, or significant others.
• Follow policies and procedures in responding to emergencies and/or safety issues.
• Promote and participate in open and effective communication and support with the team.
• Attend and prepare for all required meetings such as staff meetings, in-service meetings, monitoring meetings and required staff training.
• Treat all clients, parents, guardians, co-workers, supervisors and people in the community with respect and dignity.
OTHER DUTIES & RESPONSIBILITIES
• Actively participate in mandatory Club trainings and All Staff meetings
• Perform other related secretarial or administrative duties as requested by supervisor
SKILLS/KNOWLEDGE
• Report to scheduled shift consistently and on time.
• Follow policies, procedures and rules of the organization.
• Serve as a role model and demonstrate, encourage and offer direction in fairness, consistency, attentiveness, ability to work with others, appropriate dress and appearance, and effective conflict resolution.
• Treat all club members, parents/guardians, co-workers, supervisors and people in the community with respect and dignity.
• Maintain confidentiality of those we serve.
• Communicate to immediate supervisor any pertinent contact from family, school, or significant others.
• Follow policies and procedures in responding to emergencies and/or safety issues.
• Promote and participate in open and effective communication and support with the team.
• Maintain high program standards.
• Ability to handle multi-phone lines effectively
• Proven ability managing multiple priorities; strong organization, detail and process management orientation
• Working knowledge of office machines and equipment, e.g. fax machines and photocopiers
• Strong proficiency with computers, data base entry and with full Microsoft Office suite, email, and internet
• Excellent written and verbal communication skills; above average interpersonal skills
• Ability to read, analyze, and interpret data and information and apply appropriate judgment
• Passion for providing extraordinary customer service and work with people at all levels
TRAVEL
Some travel may be required for training and/or other business purposes.
WORKING CONDITIONS
Fast paced work environment; flexibility to working schedules may be required due to changing business demands. General office conditions is the standard work environment (standing, sitting, and walking). PHYSICAL DEMANDS:
• The usual and customary methods of performing the job's functions require the following demands: some lifting, carrying, pushing and/or pulling, stooping/kneeling, reaching with hands and arms, and finger dexterity.
• This position requires extended talking, listening, sitting, walking, and standing; computer viewing, and keyboard entry. Regularly lifting up to 25 pounds.
• Daily operation of personal motor vehicle relevant to carrying out job duties is required for this position.
• Ability to think strategically and ability to sit for more than four hours per day.
