Referral Coordinator (Midlothian, VA)

PartnerMD, a membership medical practice specializing in primary care and executive health, has an employment opportunity for a Referral Coordinator based at its Midlothian, VA office. The Referral Coordinator is responsible for assisting PartnerMD patients by obtaining necessary insurance carrier authorization for specialty care services, scheduling appointments, and follow up reporting for all referrals to outside specialists and services.
ESSENTIAL ROLE OBJECTIVES:
Obtain proper authorization and approval for services and specialty visits in accordance with insurance guidelines
  • Coordinate all outgoing referrals of PartnerMD patients
  • Ensure that referrals are addressed in a timely manner
  • Ensure use of alarms to enable appropriate follow up in a timely manner
  • Maintain a tracking system and follow up on obtaining reports for all outside referrals
  • Maintain communication with patients and clinical staff throughout the referral process
  • Obtain and document all required pre-authorizations
  • Use Athena to its highest functionality to perform all the above
Perform other duties as required:
  • Schedule and coordinate patient lab and test appointments
  • Coordinate the transmission and exchange of patient records with outside medical facilities
  • Respond to patient inquiries in a timely fashion
  • Follow up on insurance requirements for billing and processing, and document all correspondence
  • Data collecting and filing
  • Respond to voicemail messages related to outside referrals
  • Assist front desk as necessary
JOB QUALIFICATIONS amp; COMPETENCIES
  • At least one year of experience in a health care setting required
  • Bachelor’s degree or comparable work experience
  • Knowledge of medical terminology and ability to properly communicate physician’s orders to other health care providers
  • Ability to provide exceptional customer service with exceptional attention to detail
  • Strong interpersonal skills with an ability to relate to people at all levels of an organization with professionalism and integrity
  • Time management
  • Must be a team player
  • Ability to handle sensitive information and maintain a high level of confidentiality
  • Knowledge of and comfort with PC-based computing environment, including proficiency with MS Word, Excel, PowerPoint, Outlook, electronic medical records systems, and willingness to learn other systems unique to PartnerMD
REPORTING AND OTHER EXPECTATIONS
The position will report to the Practice Manager for day-to-day supervision. The person in this position will also have significant contact and involvement with other members of the clinical team. The work will be based at PartnerMD’s office in Midlothian, VA. The workweek is typically Monday through Friday from 8:00 a.m. to 5:00 p.m.
