Job Summary:
Responsible for quality and efficient office management of Facilities Department. Responsible for administrative support to Executive Director, Facilities Management (FM), Facilities Engineer, Facilities Operations Manager, and Emergency Preparedness and Public Safety Manager. Has regular direct contact with students, employees, and visitors.

Essential Functions:
1. Provides office management and administrative support for Executive Director, Facilities Engineer, Facilities Operations Manager, and Emergency Preparedness and Public Safety Manager. Provides administrative support to Building Operation teams and Emergency Management team. Answers and distributes phone, radio, and electronic messages for department.
2. Acts as public contact and helps employees, students, and visitors.
3. Participates in development, recommendation, and administration of policies, procedures and processes in support of departmental operations.
4. Develops, organizes and maintains files, processes requests for requisitions and tracks purchase orders for receipt and payment. Processes invoicing with Accounts Payable. Records and codes credit card purchases, processes documents for review/approval and circulates back to Finance.
5. Maintains and processes electronic time reporting, payroll, mileage logs, vacation calendar, utility metering logs, etc. Collaborates with Culture & Talent Success to facilitate required facilities training. Assists with recordkeeping and supports staff with access and scheduling.
6. Schedules and reserves motor pool vehicles; manages gas cards for vehicles. Provides daily support and oversight of processes like maintenance management, time keeping, electronic workflow processes, and energy management. Manages Facilities uniform ordering and distribution. Responsible for managing department office supplies.
7. Responsible for maintenance work order retrieval and distribution and update of maintenance management system. Serves as liaison for service/work order requests.
8. Assists with special projects and development and analysis of department reports and surveys.
9. Provides mailroom/warehouse assistance and support, and backup/support for College Scheduler.
10. Point person for communications related to Building Coordinator duties at Main building. Actively supports necessary coordination with departments in Main building for events and activities. Coordinates and implements temporary wayfinding signage as required for events and activities.
11. Performs other duties as assigned.

Job Specifications:
Associates degree or equivalent, relevant education required. Three or more years of office management experience required. Excellent computer skills, including Microsoft Teams, Word, Excel and PowerPoint as well as virtual meeting software required. Familiarity with workflow software and other facilities support systems such as CMMS and energy management. Demonstrated ability to learn and use a wide variety of software systems including electronic time keeping, maintenance management systems, accounting systems. Must respond and adapt quickly in a fast-paced environment. Confidentiality. Professionalism. Strong interpersonal/communication skills, written and oral.

Hiring Range:
$16.40 - $18.41
